ScheduleMeeting

One booking link, shared fairly across the team

Round Robin Scheduling Software, Round Robin Calendar and Round Robin Meeting Scheduling for Sales, Recruiting and Support Teams

Share one booking link. Each meeting lands on the calendar of the host who is free at that time and has the fewest upcoming meetings, with a Google Meet link, a confirmation and a reminder. The whole team of up to 15 people is on one company price, so adding a host to the rotation never adds a seat. Move the slider to see what the same rotation costs on Calendly Teams.

Two-way Google Calendar sync, Google Meet, buffers, minimum notice, daily caps per meeting type and company-wide hours. Monthly or yearly billing, cancel from the billing screen.

The short answer

Round robin scheduling software gives a team one booking link and assigns each meeting to one host from a pool, instead of every person sharing a personal link. The prospect or candidate sees every time at least one host is free; once they pick a slot, the tool books it with a host who is free at that time, using a fairness rule so the load stays even.

ScheduleMeeting Team does this on Google Calendar for up to 15 people at $99 a month, or $594 a year. The rule is simple and visible: the free host with the fewest upcoming meetings gets the booking. Calendly, Cal.com, YouCanBookMe and OnceHub all put round-robin on a per-seat team plan, so their bill grows with every host you add. Google Calendar and Doodle do not rotate bookings at all.

What a fair rotation looks like at the end of the month

Without a rotation, inbound meetings pile up on whoever shares their link most often, and the newest rep spends the week waiting for a first call. Managers notice only when quota numbers diverge and nobody can say whether it was skill or supply.

A round-robin link fixes the supply side. Each booking goes to the free host with the fewest upcoming meetings, so four reps end the month with close to the same number of calls, and a rep who is out for a day simply drops out of the pool until they are back.

Round robin scheduling software compared, which plan you need and what it costs

Round-robin is never on the entry plan of a per-seat tool. This is the cheapest plan that includes it at each vendor, from their published US list prices and help centers, checked in September 2026.

What the round robin calendar does for your team

Everything a shared booking link needs so meetings spread evenly and nobody gets double booked.

Fewest-meetings rotation

When a slot is booked, the tool checks every host in the pool, drops anyone busy at that time, and gives the meeting to the one with the fewest upcoming meetings. A new hire catches up quickly instead of waiting for their turn in a fixed order.

Real calendar availability

Each host connects Google Calendar with two-way sync. Their own events block the slot, and a booked meeting appears on their calendar with the Meet link. The page shows a time as long as one host in the pool is free.

Collective meetings too

Some meetings need two people, like an account executive and a solutions engineer, or a hiring manager and a peer interviewer. A collective meeting type only offers times when every required host is free.

Buffers, notice and daily caps

Set buffer minutes before and after, a minimum notice so nobody gets a demo in ten minutes, a limit on how many of this meeting type a host takes per day, and how far ahead people can book.

Company hours and holidays

On Team and Business, an admin sets company-wide opening hours and closures once. Every round-robin page respects them, on top of each host's own working hours, so nobody gets booked on a company holiday.

One price for the whole pool

Team covers up to 15 people and Business up to 100. Add a host to the rotation, remove one who left, swap a rep between pools: the invoice does not change.

How to set up round robin meeting scheduling

A team of five to ten is usually live within an hour.

  1. Create the company account

Sign up with a work email, name the company and pick Team. Business fits up to 100 people when sales, recruiting and customer success share one account.

  2. Invite the hosts

Each person accepts the invite, connects their Google Calendar and sets working hours and timezone. Hosts keep their own calendars; nobody shares a login.

  3. Create a round-robin meeting type

Name it (Demo, Screening call, Onboarding session), set the length, buffers, notice and daily cap, choose Round robin as the assignment and pick which hosts are in the pool.

  4. Share the one link

Put it on the demo form thank-you page, in job postings, in email signatures and sequences. Each booking goes to the right person and shows up on their calendar with a Google Meet link.

Teams that run a round robin booking link

Any team where the person who asked for the meeting does not care which of you takes it, only that it happens soon.

Inbound sales and demo teams

Three to fifteen reps share demo requests from the website. The rotation keeps the pipeline fair and stops the fastest responder taking every lead. More on this in our sales scheduling software page.

Recruiting and talent teams

Recruiters split first-round screens, and panels book as collective meetings. See the interview scheduling software page for the hiring setup.

Customer success and onboarding

New customers book a kickoff or training session with whichever onboarding specialist is free, instead of waiting for one named person to come back from vacation.

Support and account teams

Escalation calls, renewal reviews and office hours spread across the team, with a daily cap so one person does not spend the whole day on calls.

Agencies and professional services

Discovery calls for a consulting, marketing or accounting firm go to any partner or senior associate who is free, on one link on the website. See client scheduling software for firms.

Distributed teams across time zones

Hosts in New York, Chicago and Los Angeles each keep their own hours. A prospect in any US time zone sees the combined availability and books the earliest free person.

What is the best round robin scheduling software?

The best round robin scheduling software depends on team size and what happens before the booking. For a team of 5 to 100 on Google Workspace that only needs fair rotation, a company-priced tool such as ScheduleMeeting is the cheapest option with round-robin. For one to four hosts, Cal.com Teams or SavvyCal cost less. For teams that qualify leads with forms and route them by territory into Salesforce, Chili Piper or Calendly Teams with routing forms fit better.

Most buying mistakes come from paying for routing when the team only needs rotation. If any rep can take any demo, and any recruiter can run any screen, the routing layer is a feature you pay a seat price for and never switch on.

Round robin scheduling software pricing for a whole team

Per-seat pricing looks cheap on the pricing page and expensive on the invoice, because round-robin only makes sense with several hosts. Here is the yearly cost of the cheapest plan with round-robin, by team size:

Hosts in the rotation Calendly Teams ($16 yearly) Cal.com Teams ($12 yearly) OnceHub Route ($19 yearly) ScheduleMeeting
3 people $576 a year $432 a year $684 a year $594 a year (Team)
5 people $960 a year $720 a year $1,140 a year $594 a year (Team)
10 people $1,920 a year $1,440 a year $2,280 a year $594 a year (Team)
15 people $2,880 a year $2,160 a year $3,420 a year $594 a year (Team)
30 people $5,760 a year $4,320 a year $6,840 a year $1,194 a year (Business)

How does round robin scheduling work for meetings?

Round robin meeting scheduling pools the calendars of several hosts behind one booking page. The page offers every slot where at least one host is free. When someone books, the tool picks one free host by a rule, usually the person with the fewest meetings or the one who was booked least recently, and creates the event on that host's calendar only.

In ScheduleMeeting the rule is fewest upcoming meetings among the hosts who are free at that exact time. If two people are free at 2 pm and one already has six demos this week while the other has two, the second person gets it. If only one host is free, that host gets it, which is why the page never shows a time nobody can take.

Does Google Calendar have round robin scheduling?

No. Google Calendar appointment schedules on Workspace Business Standard and above let you add co-hosts, but every co-host is invited to every booking, and their calendars are only checked if you add them by hand. There is no setting that sends each booking to one person in rotation. Teams on Google Workspace add a round-robin tool on top of the same calendars; we explain the gap in detail on our Google Calendar round robin page.

Is round robin scheduling included in Calendly's free plan?

No. Calendly's free plan and its Standard plan at $10 a seat do not include round-robin. It starts on Teams at $16 per seat a month billed yearly, or $20 month to month, and every host in the rotation must hold a paid seat. For a team of ten that is $1,920 a year before any Enterprise add-ons. We break that down by headcount in Calendly round robin pricing.

Round robin vs collective scheduling, which one do you need?

Use round robin when any one person from the team can take the meeting and you want the load shared: demos, screening calls, onboarding sessions, support calls. Use collective when a meeting needs several specific people at once, like a panel interview or a demo with a sales engineer. Collective pages only show times when every required host is free, so they have fewer open slots. Most teams run both, and both are on the Team plan. The collective scheduling software page covers panels and joint calls in detail.

When our round robin booking fits, and when another tool is better

We would rather you buy the right tool than churn in a month. Here is the honest split.

Choose ScheduleMeeting if

  • Your team works in Google Workspace and meets on Google Meet.
  • Five or more people share the rotation and you want one monthly price instead of a seat per host.
  • A fair, visible rule (fewest upcoming meetings) is enough, without weights or lead scoring.
  • You want company-wide hours and holidays enforced on every booking page at once.
  • You compared Calendly Teams, Cal.com, YouCanBookMe and OnceHub, and every one of them bills per host. AI calendars bill the same way: Reclaim puts round-robin links on its $15 Business seat. Even the cheap end charges per person: Appointlet bills $9 for every bookable member. CRM suites work the same way: HubSpot Meetings needs a Sales or Service seat for every host on a round robin link.

Choose another tool if

  • You have one to four hosts. Cal.com Teams and SavvyCal Basic are cheaper per user until the team is bigger, and Koalendar Pro stays cheaper up to seven seats if a random host pick is fine, and Zoho Bookings Basic up to eight users, especially on Zoho CRM.
  • Your calendars are in Microsoft 365 or Outlook, or your meetings run on Zoom or Microsoft Teams. We connect Google Calendar and Google Meet only.
  • You need weighted distribution, priority hosts or routing forms that send leads to a territory owner before they book.
  • You need the booking written to Salesforce or HubSpot automatically, or payment taken at booking.
  • You need SSO, a HIPAA agreement or an API for a custom booking flow.
  • You sell paid client appointments and only ever need one host per booking. Acuity Scheduling bills per account, and our Acuity vs Calendly for teams page shows where it beats per-seat tools.

Round robin scheduling software questions

What is round robin scheduling in a calendar?

It is a booking setup where one link covers several people and each new meeting goes to one of them in turn, based on who is free and a fairness rule. The person booking never picks the host. In ScheduleMeeting the free host with the fewest upcoming meetings is chosen.

How much does round robin scheduling software cost?

Per-seat tools charge $10 to $23 per host a month for the plan that includes round-robin, so a team of ten pays roughly $1,000 to $2,800 a year. Chili Piper starts at $15,000 a year. ScheduleMeeting Team is $99 a month or $594 a year for up to 15 people.

Can I choose which people are in the rotation?

Yes. Each round-robin meeting type has its own host pool. Sales demos can rotate across account executives while onboarding sessions rotate across customer success, all inside one company account.

What happens when a host is on vacation?

Their Google Calendar shows them busy, so the tool skips them and gives the booking to another free host. Company holidays set by an admin close the slot for everyone at once.

Can I cap how many meetings one person gets per day?

Yes. Each meeting type has a daily limit, plus buffers before and after, minimum notice and how many days ahead someone can book.

Does it work with Outlook or Zoom?

No. ScheduleMeeting connects Google Calendar with two-way sync and creates Google Meet links. Teams on Microsoft 365 or Zoom should look at Calendly, Cal.com or OnceHub.

Is there a trial?

Every new account gets a one-time demo with 5 bookings and one meeting type, so you can see the booking flow before you pay. Round-robin and collective meetings are on Team and Business.
