For teams that outgrew Doodle booking pages

Doodle Scheduling Tool Alternative for Business Teams Built on Round-Robin Booking Pages

Doodle is a good group poll. It is an expensive way to run a team's booking pages: the Team plan is $16 to $21 per user every month, and there is no round-robin, so every booking still lands on one named person. ScheduleMeeting gives a team shared booking pages that rotate meetings to whoever is free, on Google Calendar, for one flat price. Move the slider to see the yearly difference for your headcount.

Two-way Google Calendar sync and Google Meet links. Monthly or yearly billing by card, cancel any time from the billing screen.

Doodle figures use its published Team list price: $16 per user per month billed yearly for 2 to 5 seats, $14 for 6 to 20, $13 above 20 (month to month: $21, $19, $17, $15 above 50), two seat minimum. ScheduleMeeting prices are the plans on our pricing page, in US dollars.

The short answer

The best alternative to the Doodle scheduling tool for a business team is a scheduler built around booking pages rather than polls: shared team pages, round-robin rotation, and company-wide hours, priced per company instead of per user. Doodle Team costs $16 per user a month billed yearly ($21 month to month) with a two seat minimum, and its booking pages cannot rotate meetings between people. ScheduleMeeting Team covers up to 15 people with round-robin and collective meetings for $99 a month.

What you give up is the group poll that made the Doodle scheduling app popular in the first place. Doodle's poll, where twelve people vote on a date, has no equivalent here, and Doodle also connects to Outlook, iCloud, Zoom, Teams and Webex, which ScheduleMeeting does not. If your team mostly polls, keep Doodle. If your team mostly takes booked meetings from clients, candidates and prospects, this page is for you.

Polls work for one meeting, booking pages work for a team

Doodle is built around the group poll: a handful of people vote on times for one meeting. That is useful for a board meeting or an offsite. It is the wrong shape for a team where clients, candidates or prospects book calls every day and any one of several people can take them.

Once calls are shared, the team needs one link that shows the combined free time, sends each booking to a person who is actually available and keeps the load even. Doodle Team gives every user their own booking page and bills each of them, so the rotation still has to be managed by hand.

What a business team gets that Doodle booking pages don't do

Doodle's booking page is a personal link: one person, one calendar. A team needs one link that many people can stand behind.

Round-robin booking pages

One link on your website, in email signatures and in your outreach. Each booking goes to the person with the fewest upcoming meetings who is free at that time. Nobody rebalances a spreadsheet, and the newest hire does not sit idle while the veteran's calendar fills up.

Collective meetings

Panel interviews and technical demos need two or three specific people. A collective meeting type only offers slots when every required host is free, then writes the booking to each of their Google Calendars with one Google Meet link.

Two-way Google Calendar sync

Every existing event on a host's Google Calendar blocks their slots, including personal calendars they choose to include. Confirmed bookings are written back to the assigned host, so there is no second calendar to keep in step.

Company hours and holidays

Set the hours your company takes meetings and block holidays once. A slot has to fit both the host's own working hours and the company policy before a guest can book it, on every page at the same time.

Buffers, notice and daily caps

Prep time before and after each meeting, a minimum notice so nobody gets a call in ten minutes, and a daily cap per host so the rotation never stacks eight calls on one person.

One price for the whole team

Team is $99 a month for up to 15 people. Adding the ninth or twelfth person costs nothing. On Doodle Team that same person is another $16 to $21 every month.

How to move a team off Doodle in an afternoon

Keep Doodle running for a week if you like. Once the rotation looks right, swap the links.

  1. Create the company account

Sign up with your work email, name the company and pick Team, or Business if more than 15 people take meetings.

  2. Invite people and connect calendars

Each person accepts the invite, connects their own Google Calendar and sets working hours and timezone. Nobody shares a login or a calendar.

  3. Rebuild your booking pages as meeting types

Create the intro call, demo, interview or client check-in as meeting types, add the people who share them, choose round-robin or collective, and set buffers, notice and daily caps.

  4. Swap the links

Replace Doodle booking links in your website, email signatures and templates. Bookings rotate from the next click.

Teams that switch from Doodle, and why

The pattern is the same each time: the team bought Doodle for polls, started using booking pages, and now pays per user for a feature that still can't share the load.

Inbound sales teams

Three to fifteen reps taking demo requests. A round-robin page spreads demos fairly and a daily cap keeps any one rep from being buried. See team scheduling for sales and recruiting.

Recruiting and HR

Phone screens rotate across recruiters, panel interviews use a collective type so the hiring manager and interviewer are both free, and company holidays block every page at once. More on interview scheduling software for hiring teams.

Agencies and consultancies

New business calls rotate across partners, while client check-ins stay with the account lead. Company hours keep bookings inside the time the firm actually covers. More on the client scheduling software page.

Customer success and onboarding

Kickoff and training sessions spread across the CS team, on the same company account as sales, with no extra seats to buy when someone new starts.

What is the best alternative to the Doodle scheduling tool?

For a business team that takes booked meetings, the best Doodle meeting scheduler replacement is one with shared team booking pages and round-robin, priced per company. ScheduleMeeting Team does that for up to 15 people at $99 a month on Google Calendar. For a team that mainly polls a group on a date, Doodle itself remains the stronger tool, and no booking-page product replaces it well.

Between those two is Calendly, which has round-robin on its Teams plan at $16 per seat a month billed yearly, plus a much larger integration list. We break down that seat math on the Calendly for Teams alternative page. The rule of thumb: per-user pricing is fine for one or two people and expensive from about five, whichever vendor it is.

Does Doodle do round robin scheduling?

No. Doodle does not offer round-robin scheduling on any plan. A Doodle booking page belongs to one user and every booking lands on that user's calendar. The Team plan adds co-hosts, book-on-behalf and an admin console, but none of those rotate a booking to whichever team member is free. If you need one link that distributes meetings across a team, you need a different product.

ScheduleMeeting's round-robin picks the free host with the fewest upcoming meetings at the moment the guest books, so distribution stays even over the week without an admin moving meetings by hand. If your team is on Google Workspace, round-robin on Google Calendar explains why Google's built-in appointment schedules can't do this either.

Does Doodle charge per poll or per user?

Doodle charges per user, not per poll. The Pro plan is $15 a month or $132 a year for one person. The Team plan is $16 per user a month billed yearly for 2 to 5 seats, $14 for 6 to 20 seats and $13 above 20, or $21, $19, $17 and $15 month to month, with a minimum of two users and the full year charged at purchase on annual billing. A free account gets one active group poll, one booking page and one 1:1 with ads.

Per user is the reason the bill grows with the team. Ten people on Doodle Team billed yearly is $1,680 a year. The same ten people on ScheduleMeeting Team is $594 a year, and the number does not move until you pass 15 people. The calculator at the top of this page runs both figures for any headcount from 2 to 100.

Is Doodle worth it?

Doodle is worth paying for when the job is getting a group of people to agree on a time: board meetings, committee calls, a course cohort, a family of stakeholders across three companies. Pro at $132 a year removes ads, adds reminders and deadlines, and syncs polls to your calendar. For that use there is nothing better at the price.

Doodle is not worth it as a team's booking-page system. You pay for every user, the pages don't rotate, company-wide hours have to be set person by person, and the online payment and branding extras sit on the most expensive plan. Teams in that position usually keep one Doodle Pro seat for the occasional poll and move booked meetings to a flat-priced team scheduler.

Where each product wins

Doodle is a good product for what it was built to do. The honest question is whether your team is using it for polls or for booking pages.

Choose ScheduleMeeting if

  • Your team takes booked meetings from clients, candidates or prospects and wants one link that rotates them to whoever is free.
  • You have five or more people on Doodle Team and are paying per user for booking pages that still belong to one person each.
  • Your calendars are on Google Workspace and you want two-way sync without another calendar to maintain.
  • You want company-wide hours and holidays applied to every booking page at once, and a price you can put on a card monthly.
  • Panel interviews or two-host demos need a page that only shows times when everyone required is free.

Stay on Doodle if

  • Most of what you do is a group poll: many people voting on one date, with no fixed host.
  • Your calendars are Microsoft 365, Outlook or iCloud, or your meetings run on Zoom, Teams or Webex.
  • You need sign-up sheets, or paid bookings by card, or custom-branded polls.
  • You are one person. Doodle Pro at $132 a year is cheaper than ScheduleMeeting Starter, and a solo booking page does not need rotation.

If a feature you rely on is not in either list, compare plans on the pricing page or read the Doodle pricing breakdown by team size before you buy.

Doodle alternative questions

Is there a cheaper alternative to Doodle for a team?

Yes. Doodle Team costs $16 to $21 per user a month with a two seat minimum, so 10 people pay $1,680 a year billed yearly. ScheduleMeeting Team is $594 a year for up to 15 people and adds round-robin, which Doodle does not have. Doodle Pro for a single user at $132 a year is cheaper than any team plan.

Can I use ScheduleMeeting for group polls like Doodle?

No. ScheduleMeeting does not have a poll where many people vote on a date. It is built for booked meetings: a guest picks a time from a page that reflects the hosts' real availability. Teams that still need the occasional poll usually keep one free or Pro Doodle account for it.

Does ScheduleMeeting work with Outlook or Microsoft 365?

No. ScheduleMeeting syncs with Google Calendar and creates Google Meet links. Doodle connects to Google, Microsoft 365, Outlook and iCloud calendars and to Zoom, Teams and Webex. A team on Microsoft calendars should stay on Doodle or pick a scheduler with Microsoft support.

How does round-robin decide who gets the meeting?

At the moment the guest books, ScheduleMeeting checks which hosts on that meeting type are free at that slot, after buffers, notice, daily caps and company hours, and assigns the meeting to the one with the fewest upcoming meetings. The booking is written to that host's Google Calendar with the Meet link.

Do I have to sign a yearly contract?

No. Every ScheduleMeeting plan is available month to month at $99 for Team, and yearly at $594 if you want the lower rate. Doodle's annual Team plan charges the full year at purchase; its monthly option is $21 per user for small teams.

Is there a free plan?

ScheduleMeeting has a one-time demo instead of a free plan: one meeting type and five bookings so you can see the booking page and the calendar sync before paying. Doodle's free account allows one active group poll, one booking page and one 1:1, with ads shown to your invitees.

Can I keep company hours the same for everyone?

Yes. Company hours and holidays are set once at the organization level on the Team plan and above, and every booking page respects them on top of each person's own working hours. On Doodle, availability is configured per user on each booking page.
