Calendly figures use its published Teams list price: $16 per seat per month billed yearly for seats 1 to 30, lower bands above that, and $20 per seat month to month. ScheduleMeeting prices are the plans on our pricing page, in US dollars.

The short answer

Calendly for Teams costs $16 per seat per month billed yearly for the first 30 seats, or $20 per seat month to month, and round-robin scheduling is only available from that plan up. A 10-person sales team therefore pays $1,920 a year on Calendly Teams.

ScheduleMeeting Team costs $99 a month, or $594 a year billed yearly, for up to 15 people, with round-robin and collective meetings included. It is the cheaper choice for any team of roughly four or more people that runs on Google Calendar. Calendly stays the better fit if you need Outlook, Salesforce or HubSpot routing.

The team features you would buy Calendly Teams for

Everything below is included in ScheduleMeeting Team at one price for up to 15 people. Nothing here is billed per seat or per booking.

Round-robin from one link

Put a single booking link in your demo request form or outbound sequence. Each new meeting goes to the next rep on the pod who is actually free, so no one hoards the good leads and no one gets skipped.

Collective meetings

A collective meeting type only offers times when every required host is free. Use it for an account executive plus a solutions engineer, or a hiring manager plus two interviewers.

Company-wide hours and holidays

Set the hours your company takes meetings and block company holidays once. A slot has to pass both the person's working hours and the company policy before anyone can book it.

Two-way Google Calendar sync

Existing events block availability, and confirmed bookings are written back to the host's Google Calendar with a Google Meet link when the meeting type uses one.

Buffers, notice and daily caps

Add time before and after calls, set a minimum notice so nobody books a demo twenty minutes out, and cap how many meetings a rep takes in a day.

Confirmations, reminders and self-service changes

Invitees get a confirmation and a reminder a day ahead. Every email carries a private link to reschedule from live availability or cancel, and both sides are notified.

How to move a team off Calendly Teams

Most teams can switch in an afternoon. Your old Calendly links keep working until you retire them, so there is no gap in bookings.

  1. Create the company account

Sign up with your work email, name the company and pick Team or Business. The seats are included in the plan price.

  2. Invite your reps

Each person accepts an invitation, connects their Google Calendar and confirms their working hours and timezone.

  3. Rebuild your meeting types

Recreate the discovery call, demo or interview types you used in Calendly, then mark the shared ones round-robin or collective.

  4. Swap the links

Replace the Calendly URL in your website form, email signatures and sequences with the team booking link, then cancel the Calendly seats at renewal.

Teams that switch for the per-seat math

Per-seat pricing hurts most when many people take meetings but each books only a handful a week. These are the groups where a flat plan changes the bill the most.

Inbound sales pods of 5 to 15 reps

Round-robin is the reason sales teams buy Calendly Teams, and it is exactly where every rep becomes a $16 to $20 seat. On ScheduleMeeting Team the whole pod shares one link and one price.

Recruiting and interview panels

Hiring managers and interviewers who host a few calls a month still count as full seats on a per-seat plan. Collective meeting types book a candidate only when the whole panel is free.

Customer success and onboarding

Kickoffs, quarterly reviews and renewal calls spread across a CS team. Company-wide hours keep bookings inside the times your team actually covers.

Agencies, consultancies and small firms

Partners, account leads and specialists all take client calls. Paying a seat for each person who occasionally books a meeting adds up quickly on a per-seat model.

How much does Calendly cost for a team?

Calendly for Teams costs $16 per seat per month when billed yearly for seats 1 to 30, $14.50 for seats 31 to 50 and $14 for seats 51 to 100, according to Calendly's own help center. Month to month, the Teams rate is $20 per seat. Every person who hosts meetings needs a seat.

That means the real number depends on headcount, not on how many meetings you book. A team of 8 reps on yearly billing lists at $1,536 a year. The same 8 reps on ScheduleMeeting Team pay $594 a year, because the plan price already includes up to 15 people. If you would rather see your own number than ours, the calculator at the top of this page runs the same math for any team size from 2 to 100.

What is the difference between Calendly Standard and Teams?

The main difference is team scheduling. Calendly Standard covers individual booking links and costs $10 per seat per month billed yearly. Round-robin distribution, lead routing, the Salesforce integration and admin controls are only on Teams, which is why most sales and recruiting groups end up on the higher per-seat plan.

ScheduleMeeting splits the same line differently. Starter ($49 a month, up to 3 people) covers booking pages, Google Calendar sync, reminders and availability rules. Team adds round-robin, collective meetings, shared team booking pages and company-wide hours. You choose by what the team needs, and adding a colleague inside the plan limit costs nothing.

Is Calendly Teams worth it for a small team?

For two or three people, usually yes, and we would say so. At three seats Calendly Teams lists at $576 a year, which is close to ScheduleMeeting Team at $594. If your team also needs Outlook calendars or Salesforce routing, Calendly is the stronger product at that size.

The math turns from about four people up. Every seat you add on Calendly raises the bill by $192 a year, while a flat plan stays the same until you reach its seat limit. By 10 people the per-seat bill is more than three times the flat one.

  • 2 to 3 people who need Outlook or a CRM: Calendly Teams is a sensible buy.
  • 4 to 15 people on Google Workspace who need round-robin: ScheduleMeeting Team costs less.
  • 16 to 100 people: ScheduleMeeting Business at $199 a month, or $1,194 a year, covers the whole group.

Can multiple people share one Calendly account?

No. Calendly is licensed per seat, so every team member who hosts bookings needs their own seat on the plan, even if they share a team page. Sharing one login between reps also breaks round-robin, because the scheduler cannot tell whose calendar a meeting belongs to.

ScheduleMeeting avoids the workaround instead of forbidding it. Each person gets their own account, their own calendar connection and their own hours, and the plan price already covers everyone up to its limit. There is no reason to share a login to save money.

Where each product wins

An honest read before you switch. Calendly is a good product with a far larger integration catalog, and some teams should stay on it.

Choose ScheduleMeeting if

  • Your team runs on Google Workspace and Google Calendar.
  • Four or more people take meetings and you want round-robin without paying per seat.
  • You want company-wide hours and holidays enforced on every booking page.
  • You would rather know the full yearly cost up front than grow it one seat at a time.

Stay on Calendly Teams if

  • Your calendars are in Outlook, Microsoft 365 or iCloud.
  • You route inbound leads through Salesforce or HubSpot forms today.
  • You need Zoom or Microsoft Teams links generated at booking time.
  • You collect payment when a meeting is booked, or you need a free plan for individuals.

Calendly for Teams questions buyers ask

Does Calendly charge per user?

Yes. Calendly prices every paid plan per seat, and each person who hosts meetings needs one. Teams is $16 per seat per month billed yearly for the first 30 seats and $20 month to month. ScheduleMeeting includes seats in the plan price instead: Team covers up to 15 people for $99 a month.

Is round robin free on Calendly?

No. Round-robin scheduling is not on Calendly's free or Standard plans; it starts on Teams, so every rep in the rotation is a paid Teams seat. On ScheduleMeeting, round-robin is part of the Team plan at a flat price, whatever the number of reps up to the plan limit.

What is a good alternative to Calendly for teams?

For teams on Google Calendar that mainly need round-robin, collective meetings and company-wide availability, ScheduleMeeting is a flat-priced alternative: $99 a month for up to 15 people. If you need Outlook support or Salesforce routing, compare tools that integrate with those first.

Can I switch from Calendly without losing bookings?

Yes. Keep your Calendly links live while you set up ScheduleMeeting, rebuild your meeting types and connect each rep's Google Calendar. Once the new team link is in your forms and signatures, existing Calendly bookings still happen as planned, and you cancel the seats at renewal.

Is there a free trial of ScheduleMeeting?

Every new account gets a one-time demo with a few bookings and one meeting type, so you can see it working with your own calendar before you pay. Running scheduling for a team requires a paid plan; there is no permanent free plan.

Do you charge per booking?

No. Every paid ScheduleMeeting plan includes unlimited bookings. The price depends only on the plan and the number of people it includes, which is why the yearly cost is known before you start.
