OnceHub figures use its published Route list price, the cheapest OnceHub plan with round-robin: $19 per seat per month billed yearly, $23 month to month, every person who receives meetings is a seat. The short answer

The best OnceHub alternative for a business team that only needs booking pages, round-robin and collective meetings is a scheduler priced per company instead of per seat. OnceHub's round-robin, routing forms and meeting reassignment live on the Route plan at $19 per seat a month billed yearly ($23 monthly), and a Security and Compliance add-on for single sign-on or a HIPAA BAA is another $5 to $6 per seat. ScheduleMeeting Team covers up to 15 people with round-robin and collective meetings for $99 a month, or $594 a year.

What you give up is the part of OnceHub that is not scheduling: the routing forms that qualify a lead before the calendar appears, the Salesforce and HubSpot sync, the Engage chatbots, SMS notifications and paid bookings. If your team uses OnceHub as a lead-routing layer in front of a CRM, stay. If it uses OnceHub as a set of booking pages that rotate demos, screens or onboarding calls across a team of three to fifty on Google Workspace, the flat plan does the same job for less at almost every headcount.

What a team gets on a flat price instead of a Route seat

The pieces of OnceHub that most teams actually use, without the per-seat meter running every time someone joins.

Round-robin booking pages

One link on the website, in email signatures and in every sequence. Each booking goes to the person with the fewest upcoming meetings who is free at that time. On OnceHub this is the feature that moves you from Schedule to Route, roughly doubling the seat price.

Collective meetings

Panel interviews, technical demos and onboarding calls that need two or three named people. The page only shows times when everyone required is free, and every host's calendar gets the event.

Company hours and holidays

Set the hours the company takes meetings and the days it is closed once, at the organization level. Every booking page respects it on top of each person's own working hours, so nobody edits fifteen pages before Thanksgiving.

Two-way Google Calendar sync

Each person connects their own Google Calendar. Busy time blocks the page, bookings land on the calendar with a Meet link, and a reschedule or cancellation updates the same event rather than leaving a ghost.

Buffers, notice and daily caps

Ten minutes between demos, no bookings inside four hours, at most six calls a day per rep. The limits that keep a rotation fair when one person is having a busy week.

One price per company

$99 a month for up to 15 people who take meetings, $199 for up to 100. Add a hire on Monday and the invoice does not change. Compare it with OnceHub's Route seat math on the calculator above.

How to move a team off OnceHub in an afternoon

Keep OnceHub running until the rotation looks right, then swap the links on the website and in signatures.

  1. Create the company account

Sign up with your work email, name the company and pick Team, or Business if more than 15 people take meetings.

  2. Invite people and connect calendars

Each person accepts the invite, connects their own Google Calendar and sets working hours and time zone. Nobody shares a login or a calendar.

  3. Rebuild booking pages as meeting types

Create the demo, phone screen, onboarding call or client check-in as meeting types. Add the hosts to each, choose round-robin or collective, set buffers and daily caps.

  4. Swap the links

Replace the OnceHub booking links on your site, in email signatures and in your outreach templates. Existing OnceHub bookings stay on people's Google Calendars, so nothing is lost.

Teams that leave OnceHub, and why

The pattern is the same each time: the team bought OnceHub for booking pages, needed round-robin, and found that the upgrade to Route doubled the bill for every seat.

Recruiting and HR

Phone screens rotate across recruiters, panel interviews use a collective type so the hiring manager and interviewer are both free. Every interviewer on OnceHub is a paid seat; on a flat plan they are just people. See interview scheduling software for hiring teams.

Customer success and onboarding

Kickoff and onboarding calls go to whichever CSM has the lightest calendar, and quarterly reviews book against the account owner. Teams that treat customer onboarding as an operations process usually want the scheduling piece priced per company, not per CSM.

Agencies and consultancies

Discovery calls rotate across partners, project check-ins book against the named lead, and company hours keep client bookings out of the weekly planning block.

What is OnceHub used for?

OnceHub, formerly ScheduleOnce, is scheduling software for sales, customer success and support teams. Companies use it for booking pages, routing forms that qualify a website visitor before showing a calendar, round-robin assignment of meetings to a team, and chatbots that hand a live visitor to a rep. It syncs Google, Microsoft 365, Exchange and iCloud calendars and connects to Salesforce and HubSpot.

In practice most small and mid-sized teams use two of those pieces: booking pages and round-robin. That is where an OnceHub alternative earns its keep, because those two features cost $19 per seat a month on OnceHub and are the whole product on a flat-priced team scheduler.

How much does OnceHub cost?

OnceHub costs $10 to $39 per seat a month billed yearly, or $12 to $47 month to month, across three paid plans: Schedule ($10 or $12), Route ($19 or $23) and Engage ($39 or $47). A free Basic plan gives one user one booking link. Round-robin starts on Route, so a team of 10 that rotates meetings pays $2,280 a year billed yearly or $2,760 billed monthly, before the $5 to $6 per seat Security and Compliance add-on. Enterprise pricing applies from 30 users.

The same 10 people on ScheduleMeeting Team pay $594 a year billed yearly or $99 a month, and the price does not change until the team passes 15 people. The full plan-by-plan breakdown is in our OnceHub pricing guide for teams.

OnceHub vs Calendly, which is cheaper for a team?

For round-robin, Calendly Teams is $16 per seat a month billed yearly ($20 monthly) and OnceHub Route is $19 billed yearly ($23 monthly), so Calendly is cheaper per seat by about $3, and both charge for every host. OnceHub Schedule at $10 undercuts Calendly Standard at $10 only by including multi-host meetings, which Calendly reserves for its higher tiers. Neither is cheap once the team passes five people.

Against both, a flat plan wins on headcount: 10 hosts cost $1,920 a year on Calendly Teams, $2,280 on OnceHub Route and $594 on ScheduleMeeting Team. We break down the Calendly side on the Calendly for Teams alternative page and in the Calendly round robin pricing article.

Is OnceHub free?

OnceHub has a free Basic plan limited to one user, one connected calendar and one booking link, with standard email notifications and six weeks of analytics. It is enough for one person to publish a link. It has no round-robin, no team pages, no routing forms and no website embed, so a team cannot run on it. New paid signups get a 14-day trial of the Engage plan without a card.

ScheduleMeeting has no permanent free plan either. A new company gets a one-time demo with five bookings and one meeting type, then picks Starter, Team or Business. Both products are built to be paid for; the difference is what the invoice is indexed to, seats on OnceHub and the company on ScheduleMeeting.

Where each product wins

OnceHub is a serious product with a wider feature list than ours. The honest question is how much of that list your team pays for and never opens.

Choose ScheduleMeeting if

  • Your team takes booked meetings from prospects, candidates or customers and wants one link that rotates them to whoever is free, without paying per host.
  • You have three or more people on OnceHub Route, or you are on Schedule and the round-robin upgrade would double the bill.
  • Your calendars are on Google Workspace and your meetings run on Google Meet.
  • You want company-wide hours and holidays applied to every booking page at once, and a price you can put on a card monthly.
  • Panel interviews or two-host demos need a page that only shows times when everyone required is free.

Stay on OnceHub if

  • You route leads with qualification forms before the calendar appears, or reassign booked meetings by territory or deal size.
  • Your reps live in Salesforce or HubSpot and the meeting has to write to the CRM record automatically.
  • Your calendars are Microsoft 365, Exchange or iCloud, or your calls run on Zoom, Teams or Webex.
  • You need SMS reminders, paid bookings by card, website chatbots, or a HIPAA business associate agreement.
  • You are one person. OnceHub Basic is free for a single booking link, and no team plan beats free.

If a feature you rely on is not in either list, compare plans on the pricing page or read the OnceHub pricing breakdown by team size before you buy.

OnceHub alternative questions

Is there a cheaper alternative to OnceHub for a team?

Yes. OnceHub Route, the cheapest plan with round-robin, is $19 per seat a month billed yearly, so 10 hosts pay $2,280 a year. ScheduleMeeting Team is $594 a year for up to 15 hosts with round-robin and collective meetings included. Billed yearly the flat plan is cheaper from three hosts; month to month it is cheaper from five.

Does ScheduleMeeting have routing forms like OnceHub?

No. A booking page can ask questions on the form, but it does not branch a visitor to a different calendar based on their answers or hide the calendar until they qualify. If routing forms are why you bought OnceHub, that is the one feature the flat plan does not replace.

Can I migrate my OnceHub bookings?

Bookings already on people's Google Calendars stay there and keep syncing; they do not need to move. Rebuild each booking page as a meeting type, invite the hosts, then replace the OnceHub links on your site and in signatures. Most teams do it in an afternoon and keep OnceHub live for a week in parallel.

Does ScheduleMeeting work with Salesforce or HubSpot?

No. ScheduleMeeting writes bookings to Google Calendar and sends email confirmations and reminders; it does not sync to a CRM. Teams that need the meeting on the CRM record either log it from the calendar or stay on OnceHub Schedule or Route, where Salesforce and HubSpot are included.

How does round-robin assignment differ between OnceHub and ScheduleMeeting?

OnceHub Route offers three distribution modes: round-robin, maximum availability and priority, plus manual reassignment. ScheduleMeeting uses one rule: the booking goes to the host with the fewest upcoming meetings who is free at that time, with per-host buffers and daily caps shaping the rotation. It is simpler, and it needs no configuration beyond adding the hosts.

Which OnceHub competitors have round-robin without per-seat pricing?

Among the OnceHub competitors most teams evaluate, Calendly, YouCanBook.me, Zeeg and Chili Piper all charge per seat or per user, and Chili Piper starts at $15,000 a year. Google Calendar appointment schedules have no round-robin at all. ScheduleMeeting prices round-robin per company: $99 a month for up to 15 hosts.

Is OnceHub HIPAA compliant?

OnceHub offers a HIPAA business associate agreement to paid accounts through its Security and Compliance add-on, which also covers single sign-on, at $5 per seat a month billed yearly or $6 monthly. ScheduleMeeting does not sign a BAA, so clinics and covered entities should stay on OnceHub or another vendor that does.

Team booking pages that rotate, for one flat price

Team plan: round-robin, collective meetings and company-wide hours for up to 15 people at $99 a month, or $49.50 a month billed yearly. No per-seat licenses.
