Interview Scheduling Software and Interview Scheduling Tools
Interview scheduling is coordination with a deadline. Every day spent finding a slot for the third round is a day the candidate spends talking to somebody else. ScheduleMeeting removes the loop: screens rotate to the free recruiter, panels only offer times when every interviewer is free, and one flat price covers recruiters and hiring managers alike.
Two-way Google Calendar sync, Google Meet links, reminders and candidate self-rescheduling. Compare the yearly cost with per-seat Calendly for everyone who interviews.

Short answer. Interview scheduling software lets candidates book their own interview from the real free time of your recruiters and interviewers, so nobody trades emails to find a slot. Screens rotate across the recruiting team, panels only show times when every interviewer is free, and candidates reschedule themselves. ScheduleMeeting Team covers up to 15 recruiters and hiring managers for $99 a month, with no per-interviewer seat fee.
One meeting type per interview stage
Publish a meeting type for each stage of your process: recruiter screen, technical interview, panel, hiring manager, final conversation. Each carries its own duration, its own notice window, its own buffers and its own daily cap, because a 30-minute screen and a two-hour panel are not the same load.
The candidate gets the link for the stage they are at. They pick a time in their own timezone and are confirmed immediately, with a reminder before the interview.
Panels that do not need a spreadsheet
A collective meeting type requires every attached interviewer to be free at the same time. The page computes the intersection of their calendars and their working hours before it offers anything, so the slot a candidate picks is one the whole panel can actually attend. Every interviewer gets the Google Calendar invite. More on multi-host setups on the collective scheduling software page.
Screens work the other way. A round-robin meeting type spreads bookings across the interviewer pool, so the load is shared and one engineer does not absorb a whole hiring push. A colleague on leave stops receiving interviews because their calendar says so.
What the candidate sees
Candidates who can move an interview themselves do not go quiet, and your coordinator stops being a rescheduling relay.
- A month calendar with only the days that have genuine availability
- Their own timezone, detected in the browser and named beside every time
- Three fields: name, email and anything they want to tell you
- A confirmation email immediately, and a reminder before the interview
- A private link to reschedule from live availability or cancel with a reason
Control for talent ops
- Company hours and holidays applied to every interviewer's pages at once
- Daily caps so an interviewer is not booked into six conversations in a day
- Minimum notice so nobody gets an interview twenty minutes from now
- Buffers so feedback gets written before the next candidate arrives
- Booking horizon so a candidate cannot take a slot three months out
- Seats for the whole hiring team: 15 people on Team at $99 per month, 100 on Business at $199
How much does interview scheduling software cost?
Interview scheduling software costs anywhere from about $1,900 a year for a ten-person hiring team on a per-seat booking tool to five figures for an enterprise recruiting scheduler sold by quote. ScheduleMeeting Team is $594 a year flat for up to 15 recruiters and interviewers, with round-robin screens and collective panels included.
The table lists the tools US talent teams most often shortlist, with how each one charges. Quote-only vendors are marked as such; we do not guess their numbers.
| Tool | How it is priced | Ten people who interview, per year | ATS sync | Best for |
|---|---|---|---|---|
| GoodTime | Quote only, based on candidates per year rather than users | Not published | Yes, two-way, included | High-volume or enterprise recruiting with interviewer training and load rules |
| ModernLoop | Quote only | Not published | Yes | Talent ops teams running complex loops inside an ATS |
| Ashby | ATS with scheduling; All-In-One Foundations shown at $400 a month for up to 100 employees, advanced scheduling sold as an add-on | About $4,800 before add-ons | It is the ATS | Companies replacing their ATS at the same time |
| Calendly Teams | $16 per seat a month billed yearly, $20 monthly | $1,920 | Greenhouse and Lever integrations, plan dependent | Teams already standardized on Calendly |

What is the best interview scheduling software?
The best interview scheduling software depends on volume. A recruiting team hiring hundreds of people a year inside Greenhouse or Lever usually gets its money back from a dedicated scheduler such as GoodTime, because two-way ATS sync and interviewer load rules save coordinator hours at scale. A team of 3 to 15 people hiring a few roles a quarter rarely needs that; it needs screens that rotate, panels that only offer common free time, and a price that does not grow with every hiring manager.
Can Calendly be used for interview scheduling?
Yes. Calendly Teams supports round-robin screens and collective panel interviews, and many recruiters use it. The catch is the bill: every interviewer who appears in a rotation or a panel needs a paid seat, so a ten-person interview pool costs $1,920 a year on yearly billing and $2,400 on monthly. A flat plan covers the same pool for one company price.
How do you automate interview scheduling?
You automate interview scheduling by replacing the email back-and-forth with one booking link per interview stage. The link reads every interviewer's calendar and working hours, offers only times that fit the stage's length and buffers, books the slot, sends the calendar invite with a video link, and reminds the candidate. Reschedules go through the same link, so no coordinator is involved.
Who should not buy this
If your recruiters live in Outlook, need interview data written back to the ATS, or run structured loops with shadowing and interviewer certification, a recruiting-specific scheduler is the better purchase and we would rather say so here. ScheduleMeeting syncs with Google Calendar only and has no ATS integration today.
Set up interview scheduling for a hiring team in an afternoon
Most teams start with the recruiter screen, because it has the most volume, then add the panel once the interviewers have connected their calendars.
- Invite recruiters and interviewers, and have each connect Google Calendar and set working hours
- Set company hours and holidays once, so nobody is offered on a closed day
- Create a round-robin meeting type for screens and a collective one for panels, each with its own length, buffer, notice and daily cap
- Paste the stage link into your ATS email template, so candidates book the moment they advance
Common questions
Do candidates need an account?
No. They use the link, pick a time and confirm. Rescheduling and cancelling work from the private link in their confirmation email.
Can we hide who the interviewer is?
The booking page describes the meeting rather than exposing anybody's diary. With round-robin, the assigned host is decided at booking time, and the candidate sees the interviewer's name on the confirmation.
Does it handle interviews across countries?
Yes. Times are stored as absolute instants and rendered in each reader's own timezone with the zone named, so a candidate in another country books the hour they think they are booking. There is more on schedule meeting across time zones.
Is there an ATS integration?
No. Links are shared by email, in your templates, or from your applicant tracking system as a plain link, and there is no data writeback to an ATS.
Publish your screening stage first
It is the stage with the most volume and the least value in coordinating it by hand. Related reading: scheduling tool for groups, features, and what per-seat tools charge a hiring team in Calendly interview scheduling pricing.
