How much does Calendly cost for interview scheduling?
Calendly charges per seat, and for interview scheduling the plan that matters is Teams: $16 per seat a month billed yearly, or $20 month to month. Standard, at $10 per seat billed yearly ($12 monthly), has collective events for panels but no round-robin, so it cannot rotate phone screens across recruiters. The free plan allows one event type and no team scheduling at all. Enterprise starts at $15,000 a year and is aimed at 50 seats and up.
| Calendly plan | Price per seat | Round-robin screens | Collective panels | Fits a hiring team? |
|---|---|---|---|---|
| Free | $0 | No | No | One recruiter, one interview type |
| Standard | $10 a month yearly, $12 monthly | No | Yes | Panels only, screens stay on one person |
| Teams | $16 a month yearly, $20 monthly | Yes | Yes | Yes, the usual recruiting plan |
| Enterprise | From $15,000 a year | Yes | Yes | Large recruiting orgs with SSO and procurement |
These are Calendly's published US list prices in September 2026. Calendly's Teams rate steps down slightly above 30 seats ($14.50 from 31 to 50), which no small hiring team reaches.
Does every interviewer need a Calendly seat?
Yes. On Calendly, every host on a round-robin or collective event type has to be a user on your account, and every user is a paid seat. Candidates never need an account. The catch for recruiting is that the hosts are not only the recruiters. A collective panel that includes the hiring manager and two engineers makes all three of them hosts, so all three become seats, even if each of them interviews twice a month.
That is the line most budgets miss. A team plans for "three recruiters on Calendly" and ends up paying for eight or ten people, because the panel is where Calendly saves the most time and the panel is made of people outside recruiting.
What does Calendly cost a recruiting team by size?
The table below prices Calendly Teams for the people who actually host interviews, recruiters plus the hiring managers and interviewers who sit on collective panels. It sets that against a flat-priced scheduler where seats are included, ScheduleMeeting interview scheduling software, which does the same round-robin screens and collective panels on Google Calendar.
| People who host interviews | Calendly Teams, billed yearly | Calendly Teams, month to month | ScheduleMeeting, billed yearly | ScheduleMeeting, month to month |
|---|---|---|---|---|
| 2 recruiters | $384 a year | $480 a year | $594 a year (Team) | $99 a month (Team) |
| 3 recruiters, 5 panel interviewers (8) | $1,536 a year | $1,920 a year | $594 a year (Team) | $99 a month (Team) |
| 12 people | $2,304 a year | $2,880 a year | $594 a year (Team) | $99 a month (Team) |
| 15 people | $2,880 a year | $3,600 a year | $594 a year (Team) | $99 a month (Team) |
| 25 people | $4,800 a year | $6,000 a year | $1,194 a year (Business) | $199 a month (Business) |
Two things stand out. With only two recruiters and no hiring managers on panels, Calendly Teams is cheaper, and we would tell you to buy it. From four hosts on yearly billing, or five on monthly, the flat plan costs less, and the gap widens with every hiring manager you add. At eight hosts the difference is about $940 a year billed yearly.
Is Calendly Standard enough for scheduling interviews?
Standard is enough if one recruiter runs every phone screen and you only need panels. It has collective events, so the hiring manager and an interviewer can be booked together, but it has no round-robin. The moment a second recruiter should share the screening load, you either give each recruiter a separate link and split candidates by hand, or you move everyone to Teams at $16 a seat.
Standard is also still per seat. The hiring manager on a collective panel is a host on Standard too, at $10 a month billed yearly.
Is there a cheaper alternative to Calendly for recruiting teams?
For a recruiting team of four or more hosts on Google Workspace, yes. ScheduleMeeting Team covers up to 15 people for $99 a month, with round-robin screens that go to the free recruiter with the fewest upcoming interviews, collective panels that only show times when every interviewer is free, buffers, minimum notice, daily interview caps, and company holidays set once for every page. Up to 100 people fit on Business at $1,194 a year.
The honest limits: no ATS integration, Google Calendar only, and Google Meet only. Calendly integrates with Greenhouse and other applicant tracking systems, connects Outlook and Microsoft 365, and creates Zoom and Teams links. If your hiring runs on Microsoft or your ATS has to create the interview itself, the seat price is what you pay for that, and Calendly is the better buy. The full side-by-side for non-recruiting teams is on the Calendly for Teams alternative page.
What should a recruiting team budget for interview scheduling?
Count hosts, not recruiters. Write down everyone who will appear on a screening rotation or a panel in the next six months, including hiring managers for roles you expect to open. Multiply by $192 a year for Calendly Teams billed yearly, or $240 month to month, and compare that with a flat plan.
Then check the tools on both sides of scheduling. Scheduling is one step in a funnel: sourcing and screening before it, onboarding after it. Teams that are drowning in first-round calls often find the better saving is earlier, for example letting an AI interviewer run the first-round screening calls so only shortlisted candidates ever reach a recruiter's calendar. What is left to book is the conversation that needs a person.
How do you set up interview scheduling without paying per interviewer?
Create one company account, invite the recruiters and interviewers, and have each connect their own Google Calendar. Build a round-robin meeting type for phone screens and a collective type for each panel, set a buffer after every interview for scorecards and a daily cap per interviewer, and paste the links into your ATS stage emails. Candidates book themselves; interviewers see the event on their calendar with a Meet link.
If you only need round-robin for a sales team rather than recruiting, the pricing is broken down separately in Calendly round robin pricing.
Calendly interview scheduling pricing questions
How much is Calendly for recruiters?
Recruiters usually need Calendly Teams, which costs $16 per seat a month billed yearly or $20 month to month, because it is the plan with round-robin. Standard at $10 a seat has panels but no rotation. Every interviewer who hosts, not only recruiters, is a paid seat.
Can I use Calendly free for interviews?
For one person with one interview type, yes. The free plan has a single event type and no round-robin or collective events, so it cannot rotate screens or book a panel. Any team setup needs a paid plan.
Does Calendly integrate with an ATS?
Yes. Calendly lists integrations with Greenhouse and other applicant tracking systems. ScheduleMeeting has no ATS integration; teams paste the booking link into ATS email templates instead.
Do candidates need a Calendly account?
No. Candidates book from the link without an account on Calendly or on ScheduleMeeting. Only the people hosting interviews are users.
What is the cheapest way to run round-robin interview screens?
For two hosts, Calendly Teams at $384 a year billed yearly. For four or more hosts on Google Workspace, a flat plan such as ScheduleMeeting Team at $594 a year for up to 15 people costs less.
