Online Meeting Scheduling Tool FAQ With Straight Answers Before You Buy
Everything a team asks before putting an online meeting scheduling tool in front of clients and candidates. If your question is not here, write to [email protected] and we will answer it.
The product
What is ScheduleMeeting?
ScheduleMeeting is scheduling software for companies. Your team publishes booking pages, clients and candidates pick a time that is genuinely free, and the meeting lands on everyone's calendar in their own timezone. It replaces the email thread that normally precedes a business meeting.
Who is it for?
Business teams whose work depends on meetings happening: sales and revenue teams, recruiters, customer success, consultancies, agencies, account management and technical support. It is sold per organisation rather than per individual.
Do the people booking need an account?
No. Only your team needs accounts. An invitee opens the link, picks a time, fills in three fields and is done. Rescheduling and cancelling work from a private link in their confirmation email, still without an account.
Can I use it as one person?
The product is built and priced for organisations. A single founder can absolutely run it, but the seats, shared pages and round-robin rules are the reason to buy it, so a one-person use case is paying for capability it will not use.
Calendars and integrations
Which calendars does it connect to?
Google Calendar, in both directions: existing events block availability, and confirmed bookings are written back with the invitee attached.
Does it work with Outlook or Microsoft 365?
Partly. Two-way sync is built for Google Calendar. A member on Outlook or Microsoft 365 can paste the published ICS link of an Outlook calendar on the Calendar screen, so busy times there are kept off the booking pages, and can subscribe in Outlook to the private feed of meetings booked here. Outlook and Microsoft refresh subscribed calendars on their own schedule, so this is not live two-way sync, and we would rather say so before you buy than after. The best scheduling app comparison lists the tools that sync Microsoft calendars.
Do the meetings have video links?
A meeting type can generate a Google Meet link with the calendar event. It can also carry a phone number, a physical address or a video link of your own.
Do you read the contents of my calendar?
We read the times that are busy so availability is correct. Titles, guests, attachments and bodies of your other events are not what the product needs and are not shown anywhere in it.
Teams and distribution
Can one link feed a whole team?
Yes. A round-robin meeting type spreads bookings across the hosts attached to it, so one link on your site or in your sequences covers a pod without a routing spreadsheet.
What about meetings that need two specific people?
Use a collective meeting type. It only offers times when every required host is free, and the booking lands on all of their calendars. Panel interviews and technical demos are the usual cases.
Can we enforce company hours?
Yes. Admins set the hours and holidays for the organisation, and they apply on top of each person's own working hours on every booking page at once.
What stops a rep being overloaded?
Daily limits per meeting type, buffers before and after, a minimum notice window and a booking horizon. All four are set on the meeting type and all four are enforced when the booking is submitted, not only in the interface.
Timezones
How are timezones handled?
Every booking is stored as a UTC instant and converted for whoever is reading it. The visitor's timezone is detected in their browser, they can change it from a full selector, and the timezone name is printed beside every time on the page and in every email.
What happens across a daylight saving change?
The stored instant is absolute and conversion happens when the page or email is rendered, so a meeting booked before a change still resolves to the correct local hour after it. There is more in schedule meeting across time zones.
Plans and payment
What does it cost?
Four paid plans. Starter is $49 per month or $294 per year; Team is $99 per month or $594 per year; Business is $199 per month or $1194 per year; Enterprise is $398 per month or $2388 per year. Yearly billing is 50% cheaper and every plan includes unlimited bookings.
Is any part of it free of charge?
No. An unpaid account gets a one-time demo so you can run the real booking flow with your own calendar before you commit budget. Running your company's scheduling requires a paid plan.
Do we pay per booking or per seat?
Neither. Each plan covers a number of seats for one price, and bookings are unlimited on every plan. Adding a colleague inside your plan's limit costs nothing extra.
How do we pay, and can we cancel?
By card through a secure hosted checkout, so card details never reach our servers. You can cancel at any time from the billing screen; the plan runs to the end of the period you already paid for and your data is not deleted when it ends.
Data and security
Where does our data live and who can see it?
Data is scoped to your organisation. Members of one organisation cannot read another organisation's bookings or meeting types. Traffic is served over HTTPS and passwords are stored hashed.
What do you collect from invitees?
The name, email and timezone they enter, any notes they write, and the meeting time. We do not require a phone number, a company size or a job title, and we do not sell personal data or use it for advertising.
Can we export or delete our data?
Yes. Ask at [email protected] and we will export or delete organisation data. The legal basis and retention periods are in the Privacy Policy.
Do you hold a security certification?
We do not claim a certification we do not hold, and we do not publish an uptime figure we do not measure and back with a contract. What we do concretely is written out on the home page and in the Terms of Service. If procurement needs something specific, ask before you buy.
Still deciding?
The fastest answer is your own calendar. Connect one, publish one meeting type and send the link to a colleague. Prices are on the meeting scheduling software pricing page.
