Refund Policy
Payments for ScheduleMeeting plans are final. Your booking pages, round robin routing and calendar sync go live for the whole organisation the moment a period is paid, so there is nothing to hand back afterwards. This page sets out the few exceptions and what cancelling does.
1. In brief
- Starter, Team, Business and Enterprise are charged in advance for a month or a year, and a charge stays paid once its period has started.
- You can stop renewal from the billing screen at any time. Every seat keeps working until the paid period ends.
- A charge is returned only when we billed twice by mistake, when the charge was not authorized, or when the service was down completely.
2. When a charge is not returned
The fee buys the right to use ScheduleMeeting for the period. It does not depend on how many meetings were booked. A charge is kept when, for example:
- few or no meetings were booked through your pages during the period,
- seats were bought for colleagues who never connected their calendars,
- your organisation moved to another scheduling tool or stopped the rollout partway through,
- the yearly plan was chosen and the organisation later wanted to stop early,
- renewal ran because nobody switched it off before the date,
- the account was closed for a breach of the Terms of Service.
The demo exists so you can test booking pages and availability before paying. Use it before you subscribe.
3. The three exceptions
Billed twice. If a fault on our side charged the same plan for the same period more than once, the extra charge is returned in full.
Not authorized. If your card was charged without your permission and you tell us within 14 days, we look at the payment record and the activity on the organisation. Once the charge is confirmed as unauthorized, it is returned and the organisation it paid for is closed.
Completely down. If ScheduleMeeting was entirely unavailable to you for a long part of a paid period through our fault, and you reported it while it was happening, we may return the part of the fee that covers the outage. A delay from a connected calendar provider or one failed sync is not an outage. If we ever discontinue the service, a prepaid period cut short is handled the same way.
Any return goes to the card that was charged and never exceeds the amount paid for that period.
4. How to ask
Email [email protected] from the address on the account within 14 days of the charge. Give the date, the amount and the exception that applies. We reply to every request in writing.
5. Cancelling, upgrading and downgrading
Stopping renewal ends future charges. It does not reverse a charge already taken, and unused days or unused seats are not prorated back. When the paid period ends, the organisation returns to demo limits. Moving to a larger plan or adding seats charges the difference straight away. Moving to a smaller plan takes effect immediately; the unused part of the current plan becomes account credit used against the next invoices, and nothing is returned to the card.
6. Renewals and retried payments
Plans renew automatically at the start of each period while renewal is on. A renewal that fails stays due and our payment operator tries it again. A renewal that has been paid is final under this policy.
7. Records we keep
For each subscription we keep the acceptance of the terms at checkout, the activity log of the organisation (sign-ins, members, booking pages, calendar connections) and the payment record kept by our payment operator, including the 3D Secure result. We use them to review a request or a dispute.
8. Bank disputes
Contact us before you dispute a charge with your bank. Opening a chargeback on a valid charge without writing to us first breaches the terms, and we may close the organisation while the dispute is open. The records above go to the card network so it can decide.
9. Immediate start
Completing checkout is a request for the service to start at once. Where any law gives a right to withdraw from a contract for digital services, you agree that it ends once the service has started.
10. Earlier purchases
Payments made before October 14, 2026 remain under the terms that applied when they were made.
