Fair round-robin demos
Each booking goes to the rep with the fewest upcoming meetings who is free at that slot. A new rep ramps without a manager reshuffling links, and the top closer is not the only one taking demos.
For inbound sales pods of 3 to 15 reps
Put one booking link on the demo form, in the rep signatures and in every outbound sequence. Each meeting goes to the free rep with the fewest upcoming meetings, lands on their Google Calendar with a Meet link, and the prospect gets a confirmation and a reminder. The whole pod is on one flat price, so adding a rep does not add a seat. Move the slider to compare it with Calendly Teams for your team size.

Round-robin and collective meetings for your whole team
Calendly figures use its published Teams list price: $16 per seat per month billed yearly for seats 1 to 30, lower bands above that, and $20 per seat month to month. ScheduleMeeting prices are the plans on our pricing page, in US dollars.
The short answer
Sales scheduling software turns a demo request into a booked meeting without email back-and-forth: the prospect picks a time from a page that reads the reps' real calendars, and the meeting is assigned to one rep, usually by round-robin. For a small team, the parts that matter are fair rotation, a daily cap per rep, buffers between calls and a reliable calendar sync.
ScheduleMeeting Team does that for up to 15 reps on Google Calendar at $99 a month, or $594 a year. Calendly Teams charges $16 per rep a month billed yearly, HubSpot's round-robin links need a paid Sales Hub seat per rep, and Chili Piper starts at $15,000 a year. What we do not do: CRM routing forms, Salesforce or HubSpot sync, Outlook calendars or Zoom links.
The gap between a demo request and a booked call is where most inbound pipeline leaks. A form that says someone will be in touch loses the buyer to the competitor whose page let them pick a time on the spot.
A shared sales booking link lets the prospect choose a slot right after they submit, puts the call on the calendar of a rep who is actually free, and sends both sides a Google Meet link and a reminder. The rep's job starts at the demo, not at the email thread.

Built around the meeting a small sales team books most: the inbound demo or discovery call that any rep can take.
Each booking goes to the rep with the fewest upcoming meetings who is free at that slot. A new rep ramps without a manager reshuffling links, and the top closer is not the only one taking demos.
Technical demos that need an account executive and a solutions engineer use a collective type. The prospect only sees times when both are free, and the meeting goes on both calendars with one Meet link.
Cap each rep at five demos a day, keep ten minutes after every call for notes, and stop prospects booking a slot that starts in twenty minutes. Rules sit on the meeting type, so the whole pod follows them.
Every event on a rep's Google Calendar blocks the slot. PTO blocked on the calendar drops the rep out of the rotation for those days, with nothing to update in the scheduler.
Set the hours your team sells and block company holidays once. No page offers a demo on the Fourth of July because one rep forgot to block it.
Prospects get a confirmation in their own timezone and a reminder before the call. A prospect who needs to move the demo picks a new slot from the email instead of going dark.
A pod of five usually goes live the same afternoon.
Sign up with a work email, name the company and choose Team. Business covers up to 100 people when sales, CS and onboarding share one account.
Each rep accepts the invite, connects their Google Calendar and sets working hours and timezone. Nobody shares a login.
Create a round-robin type for demos, a collective type for technical calls, and set length, buffers, notice and a daily cap.
Put the round-robin link on the demo form thank-you page, in signatures and in sequences. Rotation starts with the next booking.
Small teams where a demo request left unbooked for a day is a lost deal.
Three to fifteen AEs taking demo requests from the website. One link on the thank-you page, fair rotation, and a cap so nobody drowns in a launch week.
SDRs drop the link into replies so a prospect who says yes books straight onto an AE's calendar. If the sequences themselves are the bottleneck, cold email software that writes personalized sequences fills the top of the funnel this link converts.
New business calls rotate across partners, and pitches that need the partner and a specialist use a collective type.
Demos rotate across sales, kickoffs rotate across CS, on one company account. See the broader setup on team scheduling software for sales and recruiting.
For a small sales team on Google Workspace that needs one demo link rotating across reps, the best sales scheduling software is a round-robin scheduler priced per company, not per rep. ScheduleMeeting Team covers up to 15 reps at $99 a month. For a team that must qualify and route leads from a form into Salesforce before the calendar shows, Chili Piper or Calendly Teams with routing forms is the better fit, at a higher price.
The honest split is by what happens before the booking. If a person or a simple form decides who is worth a demo, scheduling is the only job and a flat plan wins. If routing rules and CRM ownership decide which rep sees the lead, you are buying routing, and routing is sold per seat. We lay out that decision against Chili Piper on the Chili Piper alternative page.
Per-seat tools run about $10 to $20 per rep a month for round-robin, so a six rep pod pays $1,152 a year on Calendly Teams billed yearly and $1,440 month to month. Routing platforms cost far more: Chili Piper's entry plan is $15,000 a year. A flat plan such as ScheduleMeeting Team is $594 a year for up to 15 reps.
The number to watch is the marginal rep. On per-seat pricing, every hire and every part-time host in the rotation adds $192 to $240 a year. The full seat math by team size is in Calendly round robin pricing.
Use a round-robin meeting type that assigns each booking to the free rep with the fewest upcoming meetings, and add a daily cap per rep. Pure availability rotation hands most demos to whoever has the emptiest calendar, which is usually the newest or least busy rep, not an even split. Counting upcoming meetings corrects that on every booking.
Evenness also depends on calendars being accurate. A rep who does not block PTO or internal meetings looks free and gets overbooked. With two-way Google Calendar sync, anything on the rep's calendar, including personal calendars they add, removes the slot.
Yes. Link the round-robin page from your demo request button or show it on the form thank-you page. The prospect picks a time that at least one rep is free, gets a confirmation with a Google Meet link, and the meeting lands on the assigned rep's calendar.
What ScheduleMeeting does not do is read form answers and route by territory or company size before showing times. If you need that, you need a routing product; if your pod takes every demo request, a direct link books faster because there is no routing step to fail.
A wrong-fit scheduler costs more in lost demos than it saves in licenses. This is the honest split.
Full plan limits are on the pricing page. Coming from Calendly? The Calendly for Teams alternative page compares the two feature by feature. Coming from OnceHub Route? The OnceHub alternative for sales teams page does the same, including the routing forms you would give up.
For 3 to 15 reps on Google Workspace who share inbound demos, a flat-priced round-robin scheduler such as ScheduleMeeting Team at $99 a month. For one or two reps, Calendly Teams is cheaper. For teams that route leads by territory into Salesforce, Chili Piper or Calendly with routing forms.
Yes. HubSpot's help center lists round-robin scheduling pages on Sales Hub and Service Hub Starter, Professional and Enterprise, so each rep in the rotation needs a paid seat. By default it books the rep who has gone longest without a meeting.
No. There is no CRM integration. Meetings are written to the rep's Google Calendar, and most CRMs pick them up from calendar sync. If you need the scheduler itself to create CRM records, choose a tool with a native integration.
Yes. Each meeting type has a daily cap per host. Once a rep hits it, the rotation skips them for the rest of the day and the next free rep takes the booking.
Block the days on their Google Calendar. The busy time removes them from the rotation automatically, and the other reps absorb the bookings. Nothing changes in the scheduler.
Yes. Every new account gets a one-time demo with one meeting type and five bookings. Round-robin and collective meetings are on the Team plan.
No. Every paid plan includes unlimited bookings. Plans differ by people and meeting types: Starter covers 3 people, Team 15, Business 100.
Team plan: round-robin demos, collective AE plus SE calls and company-wide hours for up to 15 reps at $99 a month, or $49.50 a month billed yearly. No per-rep seats.
