HubSpot Meetings Alternative and HubSpot Meeting Scheduler for Round Robin Teams

HubSpot's free meeting scheduler gives each person a personal link, but round robin and group links need Sales Hub or Service Hub Starter or higher, and every host in the rotation needs an assigned paid seat. Slide the calculator to your rotation size: at the $20 list price per seat, a flat Team plan for up to 15 people costs less from the third host.

HubSpot figures use the $20 per seat per month list price of Starter, the lowest tier with round robin meeting links, and every member of a round robin link needs an assigned Sales or Service seat. New customers are offered a limited-time discount (from $7 a seat billed yearly or $10 monthly), which the calculator leaves out. ScheduleMeeting prices are the plans on our pricing page, in US dollars.

The short answer

HubSpot Meetings is free for personal booking links on every HubSpot plan, including the free CRM. Round robin and group meeting links need Sales Hub or Service Hub Starter, Professional or Enterprise, and HubSpot's knowledge base says every member of a round robin link must have an assigned Sales or Service seat and a connected calendar. Starter lists at $20 per seat a month, so eight hosts cost $1,920 a year at list price.

A HubSpot Meetings alternative makes sense when the people in your rotation do not otherwise need a paid CRM seat: recruiters, customer success managers, solutions engineers, founders taking overflow demos. ScheduleMeeting Team covers up to 15 hosts for $594 a year with round robin and collective meetings. If every rep already has a Sales Hub seat for pipeline work, HubSpot's meeting tool costs you nothing extra and logs bookings to the CRM, so keep it.

A CRM seat is a lot to pay for a spot in the booking rotation

HubSpot built its meeting scheduler as part of the CRM, and that is its real strength. A booked meeting creates or updates the contact, lands on the timeline and can start a workflow. For a sales team that already lives in Sales Hub, the meetings tool is the obvious choice and it comes with the seat.

The trouble starts when the rotation includes people who do not work pipeline in HubSpot. A recruiting team, a customer success group running onboarding calls, two solutions engineers who join demos, a founder who takes the overflow. Each of them needs a Sales or Service seat to sit on a round robin link. You end up buying CRM seats for people whose only use of HubSpot is to be booked, and the bill rises with every hire. A flat company price for the booking layer closes that gap.

What the rotation gets without a CRM seat per host

Everything a shared booking link needs day to day, on one company price, whether the host is a rep, a recruiter or the founder.

Round-robin that evens out the load

Each booking goes to the free host with the fewest upcoming meetings, counted across every link the person is on. Someone back from vacation with an empty calendar catches up without being buried.

Collective meetings for joint calls

One link that only offers times when every required host is free. An account executive plus a solutions engineer, a hiring manager plus two interviewers, a CSM plus the implementation lead.

Two-way Google Calendar sync

Busy time is read from every connected calendar before a slot is offered, and each booking lands as a Google event with a Meet link for the host and the guest.

Company-wide hours and holidays

Set office hours and closures once. Every booking page respects them on top of each person's own working hours, so nobody gets booked on Thanksgiving.

Adding a host does not add a seat

Team covers up to 15 people at $99 a month. Putting a recruiter, a CSM or a part-time SDR into the rotation costs nothing extra.

Reminders, buffers and caps

Email confirmations and reminders, buffers before and after meetings, minimum notice and a daily cap per host, set per meeting type.

How to move a round robin link off HubSpot in an afternoon

Most teams move the shared links first and keep HubSpot as the CRM. Nothing about the contact records has to change.

  1. Create the company account

Sign up with a work email, name the company and choose Team. Invite everyone who takes meetings; each person connects their own Google Calendar in about a minute.

  2. Rebuild the shared meeting types

Recreate each round robin or group link as a team meeting type: duration, buffers, minimum notice, the hosts in the pool and the questions you ask guests.

  3. Swap the links where buyers click

Replace the HubSpot meeting link on the website demo button, in email signatures, sequences and chat replies. If you keep HubSpot sequences, paste the new link into the template.

  4. Decide which seats you still need

Keep Sales seats for people who work deals in HubSpot. Hosts who only needed a seat to be booked can drop to a free core seat at the next renewal.

Who pays for seats only to be bookable

The pattern is the same in every case: a shared link the outside world books into, a Google Workspace calendar, and hosts who are not HubSpot power users.

Sales teams with overflow hosts

Inbound demos rotate across the reps, and a founder or sales engineer picks up the overflow. Our sales scheduling software page covers the demo setup in detail.

Recruiting teams

Phone screens rotate across recruiters who live in the ATS, not the CRM, and panels pull in the hiring manager. See interview scheduling software for the hiring workflow.

Customer success and onboarding

Kickoffs and quarterly reviews rotate across CSMs on Service Hub Free or no HubSpot seat at all, with company holidays applied to every page.

Agencies and consultancies

Discovery calls go to whichever strategist is free, and client reviews pull the account lead and a specialist into one collective meeting. Our client scheduling software page covers firms in detail.

Is the HubSpot meeting scheduler free?

Yes, for personal links. HubSpot lists one-to-one meeting links on all products and plans, including the free CRM, which covers up to two users. Each person gets a booking page synced with Gmail or Office 365, and bookings are logged to the contact record.

Round robin and group links are not free. HubSpot's knowledge base lists both under Sales Hub or Service Hub Starter, Professional or Enterprise, and requires every member of the link to have an assigned Sales or Service seat. For a team that only needs the rotating link, that is the line where a separate booking tool starts to make sense.

How much does HubSpot round robin cost?

HubSpot round robin costs one Sales or Service Hub Starter seat per host, listed at $20 a month each, so a rotation of eight is $160 a month or $1,920 a year. New customers are currently offered Starter from $7 a seat billed yearly or $10 monthly for a limited time. Professional is $90 a seat billed yearly plus a $1,500 onboarding fee.

The promotional rate narrows the gap but does not close it for larger rotations. At $7 a seat billed yearly, seven hosts cost $588 and eight cost $672, against $594 a year for ScheduleMeeting Team covering up to 15. Once the discount ends and seats return to list, a flat plan is cheaper from the third host. HubSpot's plan comparison also lists a user limit of up to 10 on Starter, so confirm with HubSpot before planning a larger rotation on that tier. The HubSpot Meetings pricing article has the full table from 2 to 25 hosts.

Hosts in the rotation HubSpot Starter at list ($20) HubSpot Starter promo, billed yearly ($7) ScheduleMeeting, billed yearly
5 $1,200 $420 $594
8 $1,920 $672 $594
10 $2,400 $840 $594
15 $3,600 $1,260 $594

Does HubSpot have round robin meetings?

Yes. A HubSpot round robin meeting link shows the combined availability of the selected team members and books each meeting with one of them. By default it distributes meetings evenly, there is a weighted option, and you can prioritize the contact owner so known contacts see their own rep first.

The catch is not the feature, it is who can be in the pool. Every member needs a Sales or Service seat and a connected calendar. ScheduleMeeting assigns each booking to the free host with the fewest upcoming meetings and lets anyone in the company account be a host, which is why teams with mixed roles in the rotation move the link and keep HubSpot for the pipeline.

HubSpot Meetings vs Calendly, which is better for a team?

HubSpot Meetings is better if your reps already have Sales Hub seats, because round robin comes with the seat and bookings write straight to the CRM. Calendly Teams is better if the team does not live in HubSpot, at $16 per seat billed yearly with round robin, routing forms and a HubSpot integration on paid plans.

Both charge per host, so both bills grow with the rotation. Fifteen hosts are $2,880 a year on Calendly Teams and $3,600 on HubSpot Starter at list. If you are weighing Calendly too, our Calendly for teams alternative page shows the seat bands, and the round robin scheduling software table puts twelve vendors side by side.

What are the best HubSpot Meetings alternatives for a business team?

The best HubSpot Meetings alternatives are Calendly Teams for the widest integrations, Chili Piper for inbound lead routing tied to HubSpot forms, Cal.com Teams for routing forms and self-hosting, and ScheduleMeeting for Google Workspace teams that want one flat price for the whole rotation. All but ScheduleMeeting bill per host.

Pick by what the link has to do. If the job is qualifying form fills and routing them by territory inside HubSpot, Chili Piper or Calendly routing will fit better than we do. If the job is giving buyers, candidates or clients one link that spreads meetings fairly across a Google Workspace team, the flat plan is the cheaper way to get there.

Where each product wins

HubSpot's meeting tool does things we do not. The question is whether your rotation needs them or just a fair, rotating link on Google Calendar.

Choose ScheduleMeeting if

  • Hosts in the rotation do not otherwise need a Sales or Service seat: recruiters, CSMs, engineers, founders.
  • You are on the free HubSpot CRM and would have to buy Starter seats only to get a round robin link.
  • Your team runs on Google Workspace and meets on Google Meet.
  • You want company-wide hours and holidays applied to every booking page at once.
  • You also looked at Calendly competitors and every round robin plan charged per host.

Keep HubSpot Meetings if

  • Every host already has a Sales Hub seat for pipeline work, so round robin costs nothing extra.
  • You need bookings to create contacts, update deals and trigger workflows natively in HubSpot.
  • You route by contact owner so known accounts always reach their own rep.
  • Your calendars are on Office 365, or meetings run on Zoom or Microsoft Teams.
  • You qualify for the new-customer Starter discount and the rotation stays under eight hosts.

HubSpot Meetings alternative questions

Is HubSpot Meetings free?

Personal meeting links are free on every HubSpot plan, including the free CRM for up to two users. Round robin and group links need Sales Hub or Service Hub Starter or higher, with a paid Sales or Service seat for every host.

Does HubSpot round robin need a paid seat for every member?

Yes. HubSpot's knowledge base says each member of a round robin link must have activated the meetings tool, have an assigned Sales or Service seat and have a connected calendar.

One flat price for every host in the rotation

Team plan: round-robin and collective meetings, shared team pages and company-wide hours for up to 15 people at $99 a month, or $49.50 a month billed yearly. No seat per host.
