HubSpot Meetings Pricing and HubSpot Meeting Scheduler Cost per Seat for Round Robin

HubSpot Meetings pricing depends on the type of link. A personal one-on-one scheduling page is free on every HubSpot plan. Round robin and group links need Sales Hub or Service Hub Starter or higher, and every host needs a paid seat. Starter lists at $20 per seat a month, so a rotation of eight costs $1,920 a year at list price. Professional is $90 a seat billed yearly plus a $1,500 onboarding fee.

HubSpot figures use the $20 per seat per month list price of Starter, the lowest tier with round robin meeting links, and every member of a round robin link needs an assigned Sales or Service seat. New customers are offered a limited-time discount (from $7 a seat billed yearly or $10 monthly), which the calculator leaves out. ScheduleMeeting prices are the plans on our pricing page, in US dollars.

How much does HubSpot Meetings cost?

HubSpot does not sell its meeting scheduler as a separate product. The meetings tool comes with a HubSpot seat, so the price of scheduling is the price of the seat that unlocks the kind of link you need. The figures below come from hubspot.com/pricing and the HubSpot knowledge base, checked in October 2026, in US dollars before tax.

PlanBilled monthlyBilled yearlyWhat the meetings tool does
Free tools$0$0One personal one-on-one scheduling page per user with HubSpot branding, for up to 2 users. Bookings are logged to the contact.
Starter (Sales Hub or Service Hub)$20 per seat list. New customers are currently offered $10.$20 per seat list. New customers are currently offered $7.Many personal and team links, round robin and group pages, HubSpot branding removed.
Professional$100 per seat$90 per seat, plus a required $1,500 onboarding feeEverything in Starter, plus the automation, sequences and reporting that surround a booked meeting.
EnterpriseYearly commitmentPriced above Professional, with its own onboarding feeSame scheduling features, with enterprise permissions and controls.

The Starter discount is marked "limited time" on HubSpot's pricing page (65% off billed yearly, 50% off billed monthly), and the $20 list price applies once it ends. Budget against list unless you have the discounted rate in writing.

Is HubSpot Meetings free?

Yes, for one personal booking page. HubSpot's knowledge base says users with free tools access or a Core seat can create a single one-on-one scheduling page that carries HubSpot branding. For a founder or a single rep, that is a real, usable scheduler that also writes each booking to the CRM contact.

It stops being free at the point where a team wants to share a link. Round robin and group scheduling pages are listed under Sales Hub or Service Hub Starter, Professional or Enterprise. Several pricing guides that rank for this question say round robin needs Professional at $90 a seat. HubSpot's own documentation lists it from Starter, which makes the entry price a good deal lower than those guides suggest.

How much does HubSpot round robin cost per seat?

HubSpot round robin costs one paid Sales Hub or Service Hub seat for every person in the rotation. The knowledge base is specific: each team member added to a round robin or group page needs an assigned Sales or Service seat, an activated meetings tool and a connected calendar. At the $20 Starter list price that is $240 per host a year.

The table sets Starter and Professional against ScheduleMeeting, which charges one price per company instead of per host. Professional figures exclude the one-time $1,500 onboarding fee.

Hosts in the rotationStarter at list, a yearStarter at the yearly offer, a yearProfessional billed yearly, a yearScheduleMeeting, billed yearly
2$480$168$2,160$294 (Starter)
3$720$252$3,240$294 (Starter)
5$1,200$420$5,400$594 (Team)
8$1,920$672$8,640$594 (Team)
10$2,400$840$10,800$594 (Team)
15See noteSee note$16,200$594 (Team)
25See noteSee note$27,000$1,194 (Business)

A note on the last two rows. HubSpot's plan comparison currently lists a user limit of up to 10 on Starter. If your rotation is larger than that, ask HubSpot whether Starter can cover it before you plan around $20 seats, because the next tier is $90 a seat. One more point on our own column: round-robin and collective meetings are on our Team plan and above, so a two or three person rotation would also be on Team at $594 a year.

What you are really paying for with a HubSpot seat

A fair reading of these numbers needs one piece of context. A Sales Hub seat is not a scheduling license. It includes the deal pipeline, email tracking, templates, calling, live chat and simple automation, and the meetings tool rides along. If your reps work deals in HubSpot every day, the scheduler is effectively free and you should use it. Nothing else will log a booked demo to the contact timeline and the deal as cleanly.

The math changes when people in the rotation do not work in the CRM. Recruiters who live in an applicant tracking system, customer success managers on onboarding calls, a solutions engineer who joins demos, a founder who takes overflow. For them the seat buys one thing, a place on the shared link. That is $240 a year per person at list for a feature a booking tool provides on its own.

Outbound teams feel this early. When SDRs run personalized cold email at scale, the last line of every sequence is a booking link, and that link has to rotate across whoever takes first calls this quarter. Each rep added to the pool is another seat.

When a flat plan costs less than HubSpot seats

ScheduleMeeting Team costs $99 a month, or $594 a year, for up to 15 people, and Business covers up to 100 for $1,194 a year. Compared with HubSpot Starter seats bought only for scheduling:

  • At the $20 list price billed yearly, the flat plan is cheaper from the third host ($720 against $594).
  • At the limited-time $7 yearly offer, HubSpot is cheaper up to seven hosts ($588) and the flat plan is cheaper from eight ($672).
  • Month to month, $99 covers the whole team, about the same as five Starter seats at list ($100) or ten at the $10 offer.
  • Against Professional there is no crossover. Two seats cost $2,160 a year before onboarding.

What the flat plan includes: round-robin that assigns each booking to the free host with the fewest upcoming meetings, collective meetings that need every host free, two-way Google Calendar sync, Google Meet links, reminders, buffers and daily caps, and company hours and holidays applied to every booking page. What it does not include: a HubSpot integration, Office 365 calendars, Zoom or Microsoft Teams links, and payment at booking. If you need any of those, stay with HubSpot or look at Calendly Teams.

The slider at the top of this page runs the same comparison for any headcount at HubSpot's list price. Our HubSpot Meetings alternative page goes through the feature differences line by line, including where HubSpot is the better choice.

HubSpot Meetings vs Calendly pricing for a team

Calendly Teams, the first Calendly plan with round robin, costs $16 a seat a month billed yearly or $20 month to month. HubSpot Starter at list is $20 either way, so the two are close: ten hosts cost $1,920 a year on Calendly Teams and $2,400 on HubSpot Starter. At HubSpot's current new-customer offer the order flips, with ten seats at $840.

The choice between them is rarely about price. HubSpot wins when the CRM is the center of the team's day. Calendly wins on calendar and video coverage and on routing forms. Both bill per host, which is the cost that grows with every hire. The Calendly pricing breakdown has the seat math from 2 to 50 hosts, and the round robin scheduling software comparison lists twelve vendors at the same team size.

How to keep the HubSpot scheduling bill down

Three checks before you buy or renew seats for a meeting link.

  1. Count who works deals and who only gets booked. Seats for the first group pay for themselves. Seats for the second group are the ones to question.
  2. Ask for the offer in writing. If you are a new customer, confirm the discounted Starter rate, how long it lasts and what the seat renews at.
  3. Split the tools if the rotation is mixed. Keep HubSpot as the CRM for the sales team and put the shared link for recruiting, customer success or a blended pool on a per-company plan. The contact records do not have to move.

Teams that only need personal links can stay on HubSpot's free tools at no cost. The decision only gets expensive when a shared link pulls in people who would not otherwise hold a paid seat.
