Zoho Bookings figures use its published US Basic list price, which includes round-robin and collective bookings: $6 per user per month billed yearly, $8 month to month. Premium, with payments, SMS and routing forms, is $9 yearly and $12 monthly. ScheduleMeeting prices are the plans on our pricing page, in US dollars.

The short answer

Zoho Bookings Basic costs $6 per user a month billed yearly, or $8 month to month, and already includes round-robin and collective bookings. Premium adds payments, SMS, routing forms and a custom domain for $9 yearly or $12 monthly. That makes Zoho Bookings cheaper than Calendly at every team size, because Calendly needs Teams at $16 a seat for round-robin.

A Zoho Bookings alternative makes sense when the team is not on Zoho CRM and has nine or more people sharing meetings. At ten users Zoho Basic is $720 a year, while ScheduleMeeting Team is $594 a year for up to 15 people on Google Workspace, and the price does not move when someone joins the rotation.

Customer success lead reviewing how booked meetings are spread across the team

Most teams buy Zoho Bookings for the CRM and keep it for the price

Zoho Bookings earns its place when the rest of the company already lives in Zoho. Appointments sync straight into Zoho CRM modules, SalesIQ chats turn into bookings, and Zoho One customers get the Premium plan included in a bundle they already pay for. If that describes you, stay where you are.

The picture is different for a sales, recruiting or customer success team that runs on Google Workspace and uses Zoho Bookings only as a booking link. Then the CRM sync is unused, the per-user line grows with every hire, and the question becomes simple: what does a shared, rotating link cost for the headcount you will have next year?

What a team gets on one price instead of a license each

The parts of a Zoho Bookings or Calendly team setup that sales, recruiting and customer success teams use every day, without the bill changing when someone joins.

Round-robin that evens out the load

Each booking goes to the free host with the fewest upcoming meetings. Over a month that keeps a new rep from sitting idle while a senior rep gets buried, with no algorithm to pick and tune.

Collective meetings for panels

One link that only shows times when every required host is free. Panel interviews, a demo with a sales engineer, a kickoff with two people from your side.

Two-way Google Calendar sync

Busy times on each person's Google Calendar block the link in real time, and every booking lands back on the host's calendar with a Google Meet link.

Company hours and holidays

Set office hours and company holidays once. Every booking page respects them on top of each person's own schedule, so nobody books a call on Thanksgiving.

No license per user

Up to 15 people on Team and up to 100 on Business. Adding a recruiter or a new CSM to the rotation does not change the invoice.

Confirmations and reminders

Every invitee and host gets a confirmation, a reminder before the call and a clean link to reschedule or cancel, so the calendar stays accurate without anyone chasing.

How to move a team off Zoho Bookings

Most teams switch in an afternoon, because the booking links are the only part the outside world sees.

  1. Create the company account

Sign up with a work email, name the company and choose Team. Invite everyone who takes meetings; each person connects their own Google Calendar.

  2. Rebuild the services you use

Zoho calls them services or event types. Most teams have three to six: an intro call, a demo, a screen, an onboarding session. Copy durations, buffers and notice rules.

  3. Set the rotation

Pick round-robin for first calls and collective for panels, choose who is in each pool, and set company hours once for every page.

  4. Swap the links

Replace the Zoho booking URL on the website, in email signatures and in templates. Keep the Zoho workspace open for two weeks to catch late bookings, then cancel.

Teams that outgrow a per-user booking bill

The common thread is a shared booking link, a Google Workspace calendar and a headcount that keeps rising.

Sales and SDR teams

Inbound demo requests land on one link that spreads them across the reps who are free. Our sales scheduling software page covers the demo setup in detail.

Recruiting teams

Phone screens rotate across recruiters and panels pull the hiring manager plus two interviewers into one slot. See interview scheduling software for the hiring workflow.

Customer success and onboarding

New accounts book a kickoff with whichever CSM has room this week, and meetings stay balanced across the team as the customer base grows.

Agencies and professional services

Discovery calls go to the next free consultant, and client reviews with two partners go on a collective link, all under one company plan.

Is Zoho Bookings free?

Yes, for one user. The Forever Free plan covers one person with online meetings, email notifications and reminders, and two-way sync with Zoho, Google or Microsoft 365 calendars, with no credit card. A team that shares a booking link needs Basic at $6 per user a month billed yearly or $8 month to month, and Zoho offers a 15-day trial of the paid plans.

Nonprofits and schools can ask Zoho for special pricing, and companies on Zoho One already have Premium included. Everyone else pays per user once a second person joins.

Is Zoho Bookings better than Calendly?

Zoho Bookings is better on price and inside the Zoho suite; Calendly is better for sales teams on Salesforce or HubSpot. Zoho Basic includes round-robin and collective bookings for $6 per user billed yearly, while Calendly needs Teams at $16 a seat for round-robin. At ten people that is $720 a year against $1,920.

Calendly earns its price with native Salesforce and HubSpot sync, routing forms on Teams, iCloud calendars and a larger set of video tools. Zoho earns its place with native Zoho CRM sync, four assignment modes, and payments, SMS and WhatsApp reminders on Premium. If neither CRM matters to you, the per-user price is the main difference, and our Calendly for teams alternative page runs that math for Calendly on its own.

How much does Zoho Bookings cost for a team?

Zoho Bookings Basic is $6 per user a month billed yearly, so five users pay $360 a year, ten pay $720 and fifteen pay $1,080. Month to month it is $8 a user. Premium, which adds payments, SMS, routing forms, white labeling and three workspaces, is $9 yearly or $12 monthly, so ten Premium users pay $1,080 a year. Resources such as rooms and extra workspaces are paid add-ons.

Our Zoho Bookings pricing breakdown has the full table from 2 to 50 users on both plans, next to Calendly and a flat plan.

What are the alternatives to Zoho Bookings?

The usual Zoho Bookings alternatives for a team are Calendly Teams, Cal.com Teams, Koalendar Pro and OnceHub, all priced per user, plus flat company plans like ScheduleMeeting. Koalendar is the closest on price at $6.99 a seat, with Appointlet next at $9 a member; Calendly and OnceHub cost more but go deeper on Salesforce, HubSpot and routing. Setmore is cheaper still at $5 a user billed yearly, but it assigns shared bookings by staff ranking rather than rotating them; the Setmore vs Calendly for teams page covers that tradeoff.

For a team of nine or more on Google Workspace that mainly needs a rotating link and panel scheduling, ScheduleMeeting Team at $99 a month for up to 15 people is the cheapest option in this group. Our round robin scheduling software page puts eleven vendors in one price table by headcount, and the Koalendar vs Calendly for teams page covers the other low-cost per-seat option.

Where each product wins

Zoho Bookings and Calendly both do things we do not. The real question is how many users you pay for to get a shared link that rotates.

Choose ScheduleMeeting if

  • Nine or more people share booked meetings, or you expect the rotation to grow this year.
  • Your team runs on Google Workspace and meets on Google Meet, and you do not use Zoho CRM.
  • You want round-robin that balances meetings by count without choosing and tuning an assignment algorithm.
  • You want company-wide hours and holidays applied to every booking page at once.
  • You also looked at Calendly competitors and every plan with round-robin charged per user.

Choose Zoho Bookings or Calendly if

  • You are one to eight people. Zoho Bookings Basic is cheaper than a flat plan until the ninth user billed yearly, or the thirteenth billed monthly.
  • Your company already runs on Zoho CRM, Bigin or Zoho One. Zoho's native sync and the bundled Premium plan are hard to beat.
  • Your calendars are on Microsoft 365 or Outlook, or your meetings run on Zoom or Microsoft Teams.
  • You take payment at booking, send SMS or WhatsApp reminders, or need routing forms. Zoho covers these on Premium and Calendly on paid plans.
  • Your sales team routes leads into Salesforce or HubSpot. Calendly Teams is built for that.

Zoho Bookings alternative questions

Does Zoho Bookings have round robin?

Yes, on Basic and Premium. Zoho Bookings lets you pick one of four assignment modes for a team service: load balancing, priority based, round-robin or the default method. The Free plan is limited to one user, so round-robin starts on Basic.

Is Zoho Bookings cheaper than Calendly?

Yes. Zoho Bookings Basic is $6 per user a month billed yearly against $16 per seat for Calendly Teams, the cheapest Calendly plan with round-robin. At ten people that is $720 a year against $1,920.

Does Zoho Bookings work with Google Calendar?

Yes. Every Zoho Bookings plan, including Free, has two-way sync with Google Calendar, Microsoft 365 and Outlook.com, and Zoho Calendar. Google Meet, Zoom, Microsoft Teams and Zoho Meeting links are generated automatically.

At what team size is a flat plan cheaper than Zoho Bookings?

At nine users billed yearly and thirteen billed monthly. ScheduleMeeting Team costs $594 a year for up to 15 people, while nine Zoho Bookings Basic users cost $648 a year and thirteen cost $1,248 a year month to month.

Can I move my Zoho Bookings services to ScheduleMeeting?

There is no automatic import. Most teams have three to six services to rebuild, which takes under an hour, and the new link replaces the Zoho URL on the website and in email signatures.

Does ScheduleMeeting integrate with Zoho CRM?

No. ScheduleMeeting syncs with Google Calendar and adds Google Meet links. Teams that depend on Zoho CRM sync, Outlook calendars or payments at booking should stay on Zoho Bookings.

One flat price for the whole team's booking links

Team plan: round-robin and collective meetings, shared team pages and company-wide hours for up to 15 people at $99 a month, or $49.50 a month billed yearly. No license per user.
