Setmore figures use its published Pro list price, the plan with two-way calendar sync: $5 per user per month billed yearly, $12 month to month. The Free plan covers up to four users with one-way sync. Setmore assigns "any team member" bookings by staff ranking order rather than rotating them. ScheduleMeeting prices are the plans on our pricing page, in US dollars.

The short answer

Setmore Pro costs $5 per user a month billed yearly, or $12 month to month, and its Free plan covers up to four users with one-way calendar sync. Calendly needs Teams at $16 a seat billed yearly, or $20 monthly, before bookings can rotate across a team. On price alone Setmore wins for a small team.

The difference is in how meetings get shared. When a customer picks "any team member" in Setmore, the booking goes to the highest-ranked person who is free, so the top of the list fills up first. Calendly Teams and ScheduleMeeting rotate bookings across the pool. At ten people Setmore Pro is $600 a year, Calendly Teams is $1,920, and ScheduleMeeting Team is $594 for up to 15 people.

Two colleagues each taking a booked client call at neighboring desks

Setmore fits a front desk, the pain starts when meetings must be shared fairly

Setmore was designed for businesses where a customer books a service with a provider: a barber, a physical therapist, a tax preparer during filing season. It handles that well. Customers pick a service, pick a person or "any team member", pay a deposit, and get a text reminder. For that job the price is hard to argue with.

Sales, recruiting and customer success teams have a different job. The link sits in an ad, an email signature or an onboarding sequence, and the goal is that every rep or recruiter gets a fair share of the calls. Setmore assigns unspecified bookings by ranking order, so whoever sits first on the list takes the first open slot every time. Fixing that by hand each week is the reason most of these teams start looking at alternatives.

What a meeting team gets on one price instead of a license each

The parts of a Setmore or Calendly setup that sales, recruiting and customer success teams lean on every day, without the invoice moving when someone joins.

Round-robin that spreads the load

Each booking goes to the free host with the fewest upcoming meetings, not to whoever sits first on a list. A new rep gets calls in week one and a senior rep does not get buried.

Collective meetings for panels

One link that only offers times when every required host is free. Panel interviews, a demo with a sales engineer, a client review with two partners.

Two-way Google Calendar sync

Busy times on each person's Google Calendar block the link in real time, and every booking lands on the host's calendar with a Google Meet link attached.

Company hours and holidays

Set office hours and company holidays once. Every booking page respects them on top of each person's own schedule, so nobody books a call on the Fourth of July.

No license per user

Up to 15 people on Team and up to 100 on Business. Adding a recruiter or a new account manager to the rotation does not change the bill.

Confirmations and reminders

Every invitee and host gets a confirmation, a reminder before the call and a link to reschedule or cancel, so the calendar stays accurate without anyone chasing.

How to move a team off Setmore

Most teams switch in an afternoon, because the booking link is the only part customers see.

  1. Create the company account

Sign up with a work email, name the company and choose Team. Invite everyone who takes meetings; each person connects their own Google Calendar.

  2. Rebuild the services you sell

Setmore calls them services. Meeting teams usually have three to six: an intro call, a demo, a screen, a kickoff. Copy durations, buffers and minimum notice.

  3. Set the rotation

Choose round-robin for first calls and collective for panels, pick who sits in each pool, and set company hours once for every page.

  4. Swap the links

Replace the Setmore booking URL on the website, the Book Now buttons and email templates. Keep Setmore open for two weeks to catch late bookings, then cancel.

Teams that outgrow Setmore's ranking order

The common thread is a shared link, a Google Workspace calendar and meetings that should land evenly.

Sales and SDR teams

Inbound demo requests land on one link that spreads them across the reps who are free. Our sales scheduling software page covers the demo setup in detail.

Recruiting teams

Phone screens rotate across recruiters, and panels pull the hiring manager plus two interviewers into one slot. See interview scheduling software for the hiring workflow.

Customer success and onboarding

New accounts book a kickoff with whichever CSM has room, and the count stays balanced as the book of business grows.

Consultancies and professional services

Discovery calls go to the next free consultant, and client reviews with two partners go on a collective link, all on one company plan.

Is Setmore better than Calendly?

Setmore is better for service businesses, and Calendly is better for teams that share meetings. Setmore gives you payments on every plan, class booking, SMS reminders, a branded mobile booking app and Reserve with Google for $5 a user billed yearly. Calendly gives you true round-robin, collective events, routing forms and Salesforce or HubSpot sync, starting at $16 a seat on Teams.

So the honest split is by business model. A salon, clinic or tutoring company that sells appointments with a provider should look hard at Setmore. A sales team, a recruiting team or a customer success group that needs fair rotation and panel scheduling will hit Setmore's limits quickly and should compare Calendly with a flat plan. Our Calendly for teams alternative page runs that Calendly math on its own.

Does Setmore have round robin?

Not in the rotating sense. Setmore offers an "Any team member" option and a "Skip team members" setting, and in both cases the booking goes to the first available provider in the order your staff is ranked. That is priority assignment: the person at the top keeps getting the earliest open slot until their calendar is full.

For a front desk that is often what the owner wants. For a sales or recruiting team it means uneven workloads and manual re-ranking. Calendly Teams, Zoho Bookings, Cal.com and ScheduleMeeting all rotate bookings across the pool instead. Our round robin scheduling software page compares eleven vendors that do.

How much does Setmore cost for a team?

Setmore Pro is $5 per user a month billed yearly, so five users pay $300 a year, ten pay $600 and twenty pay $1,200. Month to month it is $12 a user, which makes ten users $1,440 a year. The Free plan covers up to four users but syncs calendars one way only, which most teams find too risky for double bookings.

Against ScheduleMeeting, Setmore is cheaper up to nine users billed yearly and up to eight billed monthly. Between ten and fifteen people our Team plan costs less. From sixteen to nineteen users billed yearly Setmore is cheaper again, because those teams need our Business plan at $1,194 a year, and from twenty users on Business costs less. The Setmore pricing breakdown has the full table from 2 to 50 users.

Is Setmore free?

Yes, for up to four users. The Free plan includes unlimited appointments, a team booking page, online and in-person payments, email reminders and the mobile apps, but calendar sync is one-way and there are no SMS reminders, recurring appointments or video appointments. Pro adds those for $5 a user a month billed yearly, with a 30-day refund window.

A team of three or four that only needs a booking page can run on the Free plan for a long time. Once you need two-way sync so busy time on Google Calendar blocks the link, every user is on Pro.

What are the alternatives to Setmore for a team?

The common Setmore alternatives are Acuity Scheduling and Square Appointments for service businesses, and Calendly, Zoho Bookings, Cal.com and ScheduleMeeting for meeting teams. Acuity is priced per account rather than per user and adds intake forms. Zoho Bookings Basic is $6 a user and includes real round-robin.

For a team of ten or more on Google Workspace that needs rotation and panels rather than payments, ScheduleMeeting Team at $99 a month for up to 15 people is the cheapest option in this group. The Zoho Bookings alternative page covers the closest low-cost rival with round-robin.

Where each product wins

Setmore and Calendly both do things we do not. The real question is what your team sells and how many people share the link.

Choose ScheduleMeeting if

  • Ten or more people share booked meetings, or the rotation will grow past ten this year.
  • You want bookings spread evenly by meeting count, not handed to whoever ranks first.
  • Your team runs on Google Workspace and meets on Google Meet.
  • You run panel interviews or joint demos that need several hosts in one slot.
  • You want company-wide hours and holidays applied to every booking page at once.

Choose Setmore or Calendly if

  • You are one to nine people. Setmore Pro is cheaper than a flat plan until the tenth user billed yearly, and Setmore Free covers up to four users.
  • You sell services with deposits or payments at booking, run group classes, or want Reserve with Google and Instagram Book Now buttons. Setmore is built for that.
  • Your calendars are on Office 365 or iCloud, or your calls run on Zoom or Microsoft Teams.
  • You need SMS reminders, a phone answering add-on or a HIPAA option for a clinic.
  • Your sales team routes leads into Salesforce or HubSpot with routing forms. Calendly Teams covers that.

Setmore vs Calendly questions

Is Setmore cheaper than Calendly?

Yes. Setmore Pro is $5 per user a month billed yearly against $16 per seat for Calendly Teams, the cheapest Calendly plan with round-robin. At ten people that is $600 a year against $1,920. Calendly Standard at $10 a seat is closer but has no round-robin.

Does Setmore sync with Google Calendar?

Yes. Setmore syncs with Google Calendar, Office 365 and Apple Calendar. On the Free plan the sync is one-way, so Setmore appointments appear in Google but Google events do not block Setmore. Two-way sync needs Pro.

Can Setmore distribute appointments evenly across staff?

Not automatically. With "Any team member" or skipped staff selection, Setmore books the first available provider in your staff ranking order. To even out the load you change the ranking by hand. Tools with round-robin rotate bookings for you.

At what team size is a flat plan cheaper than Setmore?

At ten users billed yearly and nine billed monthly. ScheduleMeeting Team costs $594 a year for up to 15 people, while ten Setmore Pro users cost $600 a year and nine cost $1,296 a year month to month.

Does ScheduleMeeting take payments like Setmore?

No. ScheduleMeeting is built for meetings, not paid appointments, so there are no deposits, card payments or SMS reminders. Businesses that charge at booking should stay on Setmore or a similar service tool.

Can I move my Setmore services to ScheduleMeeting?

There is no automatic import. Meeting teams usually have three to six services to rebuild, which takes under an hour, and the new link replaces the Setmore URL on the website and in email signatures.
