Koalendar figures use its published Pro list price, which includes round-robin and collective events: $6.99 per seat per month billed yearly, $9.99 month to month. A seat is every person or resource that can be booked plus every admin who manages bookings. Koalendar quotes its Teams plan (10+ seats) through sales. ScheduleMeeting prices are the plans on our pricing page, in US dollars.

The short answer

Koalendar is cheaper than Calendly for a team at every headcount. Koalendar Pro costs $6.99 per seat a month billed yearly and already includes round-robin and collective events, while Calendly needs its Teams plan at $16 per seat billed yearly for round-robin. Calendly is the stronger product for sales teams that route leads into Salesforce or HubSpot.

Neither one stops the bill from growing with the team. At eight people Koalendar Pro is about $671 a year and Calendly Teams $1,536. ScheduleMeeting Team is $594 a year for up to 15 people, so from the eighth person on, a flat plan is the cheaper way to run a shared booking link on Google Workspace.

The seat count is where the comparison actually gets decided

Most teams pick a scheduling tool when three people need it and review the bill when twelve do. By then the tool is wired into email signatures, the website and every outreach template, so nobody wants to switch, and the per-seat line keeps climbing with every hire.

Koalendar counts a seat for every person or resource that can be booked and for every admin who manages bookings. Calendly counts every host on a round-robin or collective event. Before you compare features, count the seats you will actually pay for in twelve months, then run that number through the calculator above.

What a team gets on one price instead of a seat each

The parts of a Koalendar or Calendly team setup that a sales, recruiting or customer success team uses every day, without the bill moving when someone joins.

Round-robin that evens out the load

Each booking goes to the free host with the fewest upcoming meetings, not to a random one. Over a month that keeps a new rep from sitting idle while a senior rep gets buried.

Collective meetings for panels

One link that only shows times when every required host is free. Panel interviews, a demo with a sales engineer, a kickoff with two people from your side.

Two-way Google Calendar sync

Busy times on each person's Google Calendar block the link in real time, and every booking lands back on the host's calendar with a Google Meet link.

Company hours and holidays

Set office hours and company holidays once. Every booking page respects them on top of each person's own schedule, so nobody books a call on July 4.

Admins are not seats

An office manager or team lead who only sets up pages and watches bookings does not add to the price. On Koalendar that admin is a paid seat.

Confirmations and reminders

Every invitee and host gets a confirmation, a reminder before the call, and a clean link to reschedule or cancel, so the calendar stays accurate without anyone chasing.

How to move a team from Koalendar or Calendly

Most teams switch in an afternoon because the booking links are the only thing the outside world sees.

  1. Create the company account

Sign up with a work email, name the company and choose Team. Invite everyone who takes meetings; each one connects their own Google Calendar.

  2. Rebuild the meeting types you use

Most teams have three to six: an intro call, a demo, a screen, an onboarding session. Copy durations, buffers and notice rules from your current tool.

  3. Set the rotation

Pick round-robin for first calls and collective for panels, choose who is in each pool, and set company hours once.

  4. Swap the links

Replace the old link on the website, in email signatures and in outreach templates. Leave the old account open for two weeks to catch late bookings, then cancel it.

Teams that outgrow a per-seat scheduling bill

The common thread is a shared booking link and a headcount that keeps rising.

Sales and SDR teams

Inbound demo requests land on one link that spreads them across the reps who are free. Our sales scheduling software page covers the demo setup in detail.

Recruiting teams

Phone screens rotate across recruiters and panels pull the hiring manager plus two interviewers into one slot. See interview scheduling software for the hiring workflow.

Customer success and onboarding

New accounts book a kickoff with whichever CSM has room this week, and the load stays balanced across the team as the customer base grows.

Agencies and professional services

Discovery calls go to the next free consultant, and client reviews with two partners go on a collective link, all under one company plan.

Is Koalendar better than Calendly?

Koalendar is better on price and Calendly is better on depth. Koalendar Pro includes round-robin, collective events, payments and SMS reminders for $6.99 per seat a month billed yearly, less than half of Calendly Teams. Calendly is better when a sales team needs Salesforce or HubSpot sync, routing forms or an admin setup built for a large revenue team.

One difference shows up only after a few weeks. Koalendar's own feature description says round-robin assigns a random available host. Calendly can optimize for availability or for equal distribution. If an even split of meetings matters to how you pay or coach reps, test that behavior in the trial before you commit.

Is Koalendar free?

Yes, for one person doing one-to-one meetings. The Free Forever plan covers unlimited bookings and booking pages with up to two connected calendars, but it has no round-robin, no collective events and no group sessions. Any team that shares a booking link needs Pro at $6.99 per seat billed yearly or $9.99 month to month, with a seven-day trial that does not ask for a card.

The same is true of Calendly, whose free plan covers one user and one event type. For a team, neither free tier is a real option, so the useful comparison is paid plan against paid plan.

How much does Koalendar cost for a team?

Koalendar Pro costs $6.99 per seat a month billed yearly, so a team of five pays about $419 a year, ten people about $839 and fifteen about $1,258. Month to month it is $9.99 a seat. Koalendar's help center lists a separate Teams plan for organizations with ten or more seats, priced by quote.

Remember to count admins. Koalendar bills a seat for anyone who manages bookings in the workspace, so a team of seven hosts with one coordinator pays for eight. Our Koalendar pricing breakdown has the full table from 2 to 50 seats.

What are the best Koalendar alternatives for a growing team?

For a team of eight or more on Google Workspace that mainly needs a rotating link and panel scheduling, a flat plan such as ScheduleMeeting Team at $99 a month for up to 15 people costs less than Koalendar Pro. For a team that needs CRM routing, Calendly Teams or Cal.com Teams are the usual next step, both billed per user. Teams already on Zoho CRM usually land on Zoho Bookings, which we cover on the Zoho Bookings alternative page.

If you are comparing several tools at once, our round robin scheduling software page puts eleven vendors in one price table by headcount.

Where each product wins

Koalendar and Calendly both do things we do not. The real question is how many seats you pay for to get a shared link that rotates.

Choose ScheduleMeeting if

  • Eight or more people share booked meetings, or you have admins and coordinators you do not want to pay a seat for.
  • Your team runs on Google Workspace and meets on Google Meet.
  • You want round-robin that balances meetings by count, not a random pick.
  • You want company-wide hours and holidays applied to every booking page at once.
  • You also looked at Calendly Teams pricing and every plan with round-robin charged per host.

Choose Koalendar or Calendly if

  • You are one to seven people. Koalendar Pro is the cheapest round-robin plan in this comparison until the eighth seat, and it is free for one person doing one-to-one meetings.
  • Your calendars are on Microsoft 365, Outlook or iCloud, or your meetings run on Zoom or Microsoft Teams.
  • You take payment at booking or send SMS reminders. Koalendar covers both on Pro.
  • Your sales team routes leads into Salesforce or HubSpot. Calendly Teams is built for that.
  • You need the booking pages in 30+ languages, which Koalendar translates automatically.
