Koalendar Pricing, Koalendar Pro Cost per Seat and What a Team Pays for Round Robin

Koalendar pricing has a Free Forever plan for one person doing one-to-one meetings and a Pro plan at $6.99 per seat a month billed yearly, or $9.99 month to month. Round-robin and collective events are on Pro. A seat is every person or resource that can be booked and every admin who manages bookings, so a team of eight pays about $671 a year billed yearly, or $959 billed monthly.

Koalendar figures use its published Pro list price, which includes round-robin and collective events: $6.99 per seat per month billed yearly, $9.99 month to month. A seat is every person or resource that can be booked plus every admin who manages bookings. Koalendar quotes its Teams plan (10+ seats) through sales. ScheduleMeeting prices are the plans on our pricing page, in US dollars.

How much does Koalendar cost?

Koalendar lists two self-serve plans on koalendar.com/pricing, checked in September 2026, plus a Teams plan that its help center describes as a custom quote for organizations with ten or more seats. Pro is priced per seat, and the yearly price is about 30 percent below the monthly one. New accounts get a seven-day trial of every feature with no credit card.

TeamsCustom quoteCustom quoteAimed at organizations with 10+ seats: unlimited seats, dedicated onboarding and account support; SOC 2 is listed on the enterprise tier

For a solo consultant or coach, that is one of the lowest prices in the category. The picture changes once several people share a booking link, because every one of them is a seat.

Is Koalendar free?

Yes, for one person. The Free Forever plan has no time limit and does not cap bookings, which is more generous than the free tiers at Calendly or Cal.com. What it leaves out is everything a team needs: there is no round-robin, no collective event, no group session and only two connected calendars. Any setup where a prospect or candidate books one of several people starts on Pro.

What counts as a seat in Koalendar?

Koalendar's help center defines a seat as what you pay for, and lists three things that need one: people who can be booked, resources that can be booked such as a meeting room or a piece of equipment, and admins who manage bookings in the workspace. You do not pay for the number of bookings, invitees, booking pages or scheduling links.

The admin rule is the one teams miss. A sales team of seven reps with one coordinator who builds the pages and watches the calendar pays for eight seats. A clinic-style team that also books two rooms pays for those rooms too. Count all three groups before you compare prices.

Does Koalendar Pro include round robin?

Yes. Round-robin and collective events are both on Pro, which makes Koalendar one of the cheapest per-seat tools with team rotation, next to Zoho Bookings at $6 a user on Basic. Koalendar's feature description says its round-robin assigns a random host or resource to each booking, based on availability. That is fine for spreading overflow, but if you pay reps on meetings held or want a new hire to get a fair share of demos, check whether a random pick gives you the balance you need. Compare that with Calendly, where round-robin needs the Teams plan at $16 a seat billed yearly, and SavvyCal, where round-robin is on Basic at $10 a user.

Koalendar pricing for teams, the yearly bill by headcount

Per-seat pricing looks small on a pricing page and adds up on an invoice. Here is what Koalendar Pro costs a year at list price for common team sizes, next to Calendly Teams and a plan priced per company. Seats include any admin who manages bookings.

SeatsKoalendar Pro, yearlyKoalendar Pro, monthlyCalendly Teams, yearlyScheduleMeeting, yearly
2$168$240$384$594 (Team)
3$252$360$576$594 (Team)
5$419$599$960$594 (Team)
8$671$959$1,536$594 (Team)
10$839$1,199$1,920$594 (Team)
15$1,258$1,798$2,880$594 (Team)
20$1,678$2,398$3,840$1,194 (Business)
30$2,516$3,596$5,760$1,194 (Business)
50$4,194$5,994$9,240$1,194 (Business)

Two things stand out. Koalendar is cheaper than Calendly at every size, by more than half. And at eight seats billed yearly, or ten billed monthly, Koalendar Pro starts to cost more than ScheduleMeeting Team, which covers up to 15 people for $594 a year. Above ten seats Koalendar steers teams to a quoted Teams plan, so the list prices from 15 seats up are a ceiling, not a quote. Use the calculator at the top of this page for your exact headcount.

Is Koalendar cheaper than Calendly?

Yes, and not by a little. The cheapest Calendly plan with round-robin is Teams at $16 per seat a month billed yearly, or $20 month to month, against $6.99 and $9.99 for Koalendar Pro. Calendly Standard at $10 has collective events but no round-robin. What the extra money buys at Calendly is depth for sales teams: Salesforce and HubSpot sync, routing forms and more admin controls. We set the two side by side, with a third flat option, on our Koalendar vs Calendly for teams page.

When a flat team plan beats Koalendar Pro

Koalendar is the right buy for one to seven seats. Below that line nothing in this comparison with round-robin costs less, and you also get payments, SMS reminders, Outlook and iCloud calendars and Zoom or Microsoft Teams links.

A flat plan starts to make sense when:

  • Eight or more people share inbound meetings, or you have coordinators who would each need an admin seat.
  • The team works in Google Workspace and meets on Google Meet, so you do not need Outlook or Zoom support.
  • You want round-robin to balance meetings by count, so each host ends the month with a fair share instead of a random one.
  • You want office hours and company holidays set once for every booking page.
  • You expect to hire, and you would rather not reopen the budget each time someone joins the rotation.

ScheduleMeeting Team is $99 a month, or $49.50 a month billed yearly, for up to 15 people with round-robin, collective meetings and company-wide hours. Business covers up to 100 people at $199 a month. If you are also weighing per-user tools with more integrations, our round robin scheduling software comparison prices eleven vendors by headcount.

Before you commit to a yearly plan

Yearly billing is where Koalendar's low price comes from, and it also locks the seat count in for twelve months. Three checks save money later:

  • Count seats a year out, not today, including admins and any rooms you book.
  • Test round-robin in the seven-day trial with real availability, and look at who got the bookings.
  • Write down the renewal date. If your company already tracks vendor agreements in contract management software, add the scheduling subscription there so the renewal gets a review before it charges again.
